IHG Executive Assistant to General Manager - Six Senses Vana in Dehradun, India
As Executive Assistant to the General Manager, you will assume full responsibility for the efficient operation in the following:
Executive Support
Manage the General Manager's calendar, scheduling appointments, meetings and travel arrangements with precision and foresight.
Screen, prioritize and respond to correspondence on behalf of the General Manager, including emails, letters and phone calls.
Prepare briefing materials, presentations, reports and agendas for executive meetings, ensuring the General Manager is fully informed and prepared.
Act as the primary point of contact between the General Manager and internal departments, ownership, corporate offices, and external stakeholders.
Handle sensitive and confidential information with the utmost discretion and professionalism.
Draft, proofread and distribute communications, reports and documents on behalf of the General Manager.
Administrative & Operational
Maintain comprehensive paper and electronic filing systems for records, correspondence, contracts and other materials related to the General Manager's office.
Coordinate and prepare materials for leadership meetings, ownership reviews, and brand/corporate visits; record and distribute minutes and action items.
Monitor and follow up on outstanding tasks and commitments made by the General Manager, ensuring timely execution across departments.
Operate all office equipment and maintain a well-organized, efficient executive office environment.
Manage expense reporting, budget tracking and invoice processing for the General Manager's office.
Assist with the planning and coordination of resort events, VIP visits and special initiatives led by the General Manager.
Guest & Stakeholder Relations
Greet VIP visitors and high-profile guests, ensuring a warm, professional and brand-aligned experience at all times.
Liaise with department heads and key stakeholders on the General Manager's behalf to facilitate seamless communication and execution of directives.
Support the General Manager in managing owner and investor relations, preparing relevant reports and correspondence as required.
Brand & Culture
Uphold Six Senses guidelines and standards in all administrative and communication tasks.
Actively promote and embody the Six Senses culture of wellness, sustainability and Out of the ordinary guest experiences.
Attend meetings and training sessions as required, contributing to a culture of continuous learning and development.
Ensure personal performance benchmarks are maintained and consistently exceeded.
Strictly adhere to LQA standards and act on guest feedback to drive continuous improvement.
Qualifications
To execute the position of Executive Assistant to General Manager, you must have the required qualifications, technical skills and experience in a similar role in luxury hotels with proven results, and this includes the following:
Bachelor's degree in Business Administration, Hospitality Management or equivalent; a Hospitality diploma/degree from a recognized institution is preferred.
Minimum 3 years of executive secretarial or personal assistant experience, ideally supporting General Manager level in a luxury hotel or resort setting.
Demonstrated ability to manage complex, competing priorities with exceptional organization and attention to detail.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and hotel management systems.
Outstanding written and verbal communication skills in English; proficiency in additional languages is advantageous.
High level of emotional intelligence, discretion and cultural sensitivity, reflective of the Six Senses brand ethos.
Proven track record of building trusted relationships with senior leadership, guests and external partners.
