Position Overview
The Illinois Department of Children and Family Services is seeking an organized, professional, and energetic individual to serve as Secretary to the Case Tracking Administrator. Under direction, this position will perform technical, administrative secretarial, and office support functions for the Administrator. The position will conduct special projects and studies and provide general office support for staff. The position will also utilize Spanish speaking skills in the performance of duties. This position provides a great opportunity for someone who is detail oriented and interested in playing a supporting role in the Departments operations. Essential Functions
- Serves as Secretary to the Case Tracking Administrator.
- Prepares and keyboards a variety of confidential correspondence to agency staff, clients, professionals, and community agencies outside the Department for purposes of information and clarification of DCFS rules and procedures.
- Establishes and maintains databases.
- Receives, sorts, and reads incoming mail for administrator, making notations if needed.
- Translates and interprets, both orally and in writing, for Spanish speaking clients regarding services available and the proper completion of forms.
- Serves a s timekeeper.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college OR completion of high school and two years of related office experience OR two years of independent business experience.
- Requires the ability to keyboard accurately at 30 wpm.
- Requires the ability to speak and write Spanish at a colloquial skill level.
Preferred Qualifications
2 years of experience in an office setting applying knowledge of office practices, procedures, and program.
2 years of experience in an office setting applying knowledge of composition, grammar, spelling, and punctuation.
