Position Overview
The Operations Coordinator is responsible for the daily oversight of multiple clinic locations, ensuring efficiency, compliance, staff performance, and excellence in patient care. This role requires a proactive leader who thrives in a fast-paced environment and is willing to travel between clinic locations regularly.
Responsibilities
Leadership & Staff Development
Recruit, interview, and hire Wellness Coordinators
Operations & Compliance
Implement and improve front-end systems and processes
Ensure compliance with company policies and procedures
Conduct clinic and payroll audits
Enforce dress code and professional standards
Address and resolve patient concerns promptly
Maintain operational excellence across all locations
Performance & Reporting
Analyze KPI reports and regional performance metrics
Develop strategic action plans to improve results
Participate in leadership meetings to review trends
Monitor Patient Experience Assessments and implement improvements
Facility & Marketing Support
Maintain high standards of cleanliness and organization
Manage clinic supply ordering within budget
Assist with clinic refreshes and new location openings
Support marketing efforts, referral programs, and promotional events
Maintain accurate and updated Google business presence
Oversee onboarding and ongoing staff training
Create and manage monthly staff schedules
Lead weekly and monthly team meetings
Conduct performance evaluations and wellness reviews
Monitor KPIs and staff statistics to drive improvement
Provide coaching through call monitoring and video reviews
Partner with the Director of Operations to strengthen clinic performance
Qualifications
3+ years of operations management experience (healthcare, franchise, or wellness preferred)
Experience managing multiple locations preferred
Strong leadership and team-building skills
Ability to analyze performance data and implement improvement strategies
Excellent communication and problem-solving abilities
Experience with payroll audits and compliance preferred
Proficient in Microsoft Office and operational software systems
Must be willing and able to travel between clinic locations
Proven management experience with a track record of leading diverse teams in a fast-paced environment
Strong strategic planning skills with the ability to translate vision into actionable plans
Demonstrated leadership capabilities with excellent communication and decision-making skills
Experience managing profit & loss statements and financial analysis
Supervising experience in a business operations or related setting is essential
Background in business development, including client acquisition and relationship management
Familiarity with project management methodologies and process optimization techniques
Prior experience in sales roles or supporting sales teams is highly desirable
