Job Description
AECOM Tishman is hiring an organized, proactive Administrative Assistant to support daily operations on an active construction site and keep our field office running smoothly. You will partner closely with the construction team to streamline document control, logistics, and communication across the project team and subcontractors.
Job duties:
Site office administration: front desk coverage, visitor management, badging coordination, mail and deliveries, office supplies, and trailer upkeep.
Document control: log, track, and distribute RFIs, submittals, transmittals, change documents, and meeting minutes; maintain accurate records and version control in shared repositories.
Meeting and reporting support: schedule and support site meetings, compile agendas, capture action items, and distribute notes; track follow-ups to closure.
Timekeeping and onboarding: coordinate timesheets, crew rosters, orientation scheduling, compliance training, and PPE issuance for staff and subcontractors.
Procurement and invoices: assist with purchase requests, receiving, packing slips, invoice coding, and vendor follow-ups in alignment with project procedures.
Compile and manage sign-in logs, track permits, badges, coordinate orientations and maintain up-to-date compliance boards.
Logistics and scheduling: coordinate deliveries, equipment rentals, and site access with vendors and subcontractors; maintain calendars and look-ahead schedules for site activities.
Reporting and dashboards: support preparation of daily/weekly reports, photo logs, headcount, and KPI trackers; update trackers in Excel or project systems.
Communications: draft and format correspondence, notices, and site bulletins; ensuring AECOM Tishman branding.
General support: assist the project team with ad‑hoc tasks to maintain smooth field operations in a dynamic environment.

Qualifications
Minimum Qualifications
HSD/GED and 4 years of relevant experience or demonstrated equivalency of experience and/or education.
Ability to work onsite full time at an active construction site.
Preferred Qualifications
Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and document management in SharePoint or similar systems.
Strong organization, attention to detail, and ability to prioritize across multiple deadlines.
Excellent written and verbal communication skills; professional customer service with onsite personnel and visitors.
4 years of administrative support in construction or large capital projects; familiarity with RFIs, submittals, and change documentation.
Experience with project platforms such as Procore, Oracle/Unifier, eBuilder, PlanGrid, Bluebeam, or SAP/Oracle/COUPA for procurement and invoices.
Basic understanding of safety culture and site protocols.
Experience coordinating orientations, badging, permitting, and delivery scheduling with subcontractors and vendors.
Ability to obtain OSHA‑10.
Additional Information
This is an onsite role at an active construction site (field office/trailer): exposure to noise, dust, and weather; frequent movement between office and site access points.
PPE required when entering work areas (e.g., hard hat, safety glasses, high‑visibility vest, protective footwear).
Typical schedule: Monday–Friday, approximately 7:00 AM–4:00 PM (overtime or adjusted hours may be required based on site activities).
This position does not include sponsorship for United States work authorization now or in the future.
Qualified applicants who are offered a position must pass a pre-employment substance abuse test.
This position is not hybrid nor remote.
Offered rate of compensation will be based on individual education, qualifications, experience, and work location. The range for this position is $22.18 to $38.8.
