GE HealthCare Executive Assistant - Fixed Term Contract in Cork, Ireland

Job Description Summary

As the Executive Assistant, you'll be responsible for providing a wide range of high-level administrative services and support to the Site Director and Cork Senior Leadership Team to include scheduling & calendar management, travel planning & expense reporting and correspondence & communications management.

The Executive Assistant is a very visible representative of the company and must be prepared to work in a fast-paced environment and manage a range of activities including executive communication and scheduling, handling of corporate documents and arranging large-scale events all while maintaining strict confidentiality. We are looking for a professional, confident, enthusiastic team player with a ‘can do’ attitude. You will play a key role in our administrative team, helping us to build a world class Supply Chain and progress on our journey from Good to Great.

This role directly reports into the Site Leader, with dotted line support to the EA for Global Integrated Supply Chain Leader. You will need to be based at our site in Cork and on site presence is required for this role.

Job Description

Responsibilities

  • Proactively coordinate the Site Leaders/Leadership teams’ calendar, booking travel (Concur Travel System), arranging visas, taxi’s and preparing travel itineraries

  • Inbox management for the Site Leader, assisting with workflow and prioritization

  • Manage multiple ad-hoc projects and priorities, and take charge of their follow-up to ensure that commitments are met and adhering to deadlines

  • Provide Event logistical support for internal and external meetings / offsites at local site

  • Participate in and engage in team building activities that require executive leadership support

  • Craft, evaluate and modify emails, letters, agendas, PowerPoint presentations (Townhalls) on behalf of the Site Leader

  • Support the Site Leader with external board positions/works council, employee relations including correspondence, preparing materials and documentation, research, and standing in at meetings as appropriate

  • Prepare and share site communications to recognize success and foster an environment of belonging

  • Prepare presentation materials, produce reports, and maintain files/documents

  • Lead the campus’ administrative team and oversee their performance (2 x direct reports)

  • Establish and develop strong relationships with the administrative staff and global functions to facilitate exchanges

  • Provide discreet and confidential coordination of sensitive business information

Qualifications & Experience

Alongside experience in a similar role and excellent communication skills, you should be confident demonstrating the following:

  • Bachelor’s Degree in business or related discipline (equivalent)

  • You have solid experience in assisting leaders and working with diverse teams

  • You are digital savvy and can master Microsoft Office tools including Outlook, Teams, PowerPoint, and Excel. Knowledge of Smartsheet is desirable but not essential

  • A high degree of self-management organisational skills, and an excellent communicator (English oral and written).

  • Excellent attention to detail including spelling, grammar, and formatting to ensure quality and accuracy of all outputs

  • Experience of managing a busy workload, including complex and competing priorities whilst remaining organized and professional, working to deadlines, and sometimes delivering under pressure

  • Knowledge and/or interest in LEAN methods and standard work, always working from a LEAN mindset. Proactively driving continuous improvement whilst demonstrating a behaviour of thinking ahead of the curve

  • Capable of fostering close working relationships

  • Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information
