Summary of Primary Functions:
We are seeking a highly organized and reliable Administrative Assistant to support our on-site industrial installation project team. This role is responsible for handling daily administrative functions, maintaining project documentation, assisting with scheduling and coordination, and ensuring smooth communication between the project team, vendors, and corporate office. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and comfortable working directly on an active industrial job site.
Essential Duties and Responsibilities
· Provide administrative support to the Project Manager and on-site project team
· Maintain and organize project documentation, reports, and records
· Coordinate meetings, schedules, and travel arrangements for project personnel
· Prepare reports, spreadsheets, and project-related documentation
· Manage incoming calls, emails, and correspondence for the project team
· Assist with onboarding documentation for new employees and contractors
· Maintain filing systems (both digital and physical) for project records
· Coordinate office supplies and site administrative needs
· Assist with processing purchase orders, invoices, and expense documentation
· Support communication between the project site and corporate office
· Ensure compliance with company policies and project documentation requirements
Experience, Qualifications and Key Competencies
· High school diploma or equivalent required
· 2+ years of administrative experience, preferably in construction, manufacturing, or industrial environments
· Strong organizational and multitasking skills
· Excellent written and verbal communication skills
· Proficiency in Microsoft Office (Word, Excel, Outlook)
· Ability to work independently and maintain confidentiality
· Comfortable working in an active industrial project environment
· Experience supporting project managers or construction/industrial teams
· Experience with document control and reporting
