Crystalgen Inc. Event Coordinator in COMMACK, New York

Event Planning and Execution * Exam and update Crystalgens company policies and operations regarding event planning, including business needs and objectives of hosting and organizing various types of events, including meetings, conferences, and industry conventions * Plan and coordinate staff, supplier, and client events based on thorough industry research and analysis of the events financial, human resource, and marketing objectives within Crystalgen operations * Develop detailed event schedules and timelines, ensuring all aspects of the events are well-organized, including task delegation, vendor coordination, venue logistics, contingency planning, and food service * Analyze historical event data, including attendee demographics, preferences, and feedback, identify trends, patterns, and insights that can inform event planning decisions, and use statistical tools and methods to make data-driven recommendations for event design, branding, and budget allocation * Select and book venues for events in the U.S., negotiating contracts and managing all logistical arrangements within the company's budgets and operational capacity * Oversee event setups, including decorations, venue layout, audio-visual equipment, furniture, food and beverages, displays and exhibits, safety measures, signage, registration and check-ins, branding, among other necessary materials * Work closely with catering services to manage food and beverage requirements for events and ensure the food service covers all types of food sensitivities and preferences * Monitor and analyze event feedback to continuously improve future events and research competitor event planning strategies to stay ahead of the competition * Collaborate with marketing teams to create event promotion strategies and materials, particularly for our industry events * Coordinate transportation and accommodation for attendees traveling from various locations, keeping in mind the company's budget * Ensure all events comply with company policies and local regulations *Event Logistics and Vendor Relations * Establish quality standards and guidelines for vendors and suppliers and conduct regular quality checks to ensure that their products or services meet the specified criteria * Research, identify, and select reliable vendors and suppliers for various event needs, such as catering, audio-visual equipment, decorations, and transportation services * Foster and maintain positive relationships with vendors and suppliers, including regular communication, addressing issues promptly, and recognizing exceptional performance * Ensure that all vendors and suppliers comply with local regulations and have the necessary licenses and permits to operate within the event's location * Secure sponsorships and partnerships to offset event costs when applicable * Maintain and source an inventory of event-related materials, such as decorations, promotional materials, and equipment, to ensure efficient use and avoid unnecessary purchases * Solicit feedback from vendors and suppliers after events to gather insights into their experiences and identify areas for improvement in future collaborations Event Budgeting and Financial Analysis * Use statistical analysis to create accurate budget projections, ensuring that resources are allocated efficiently and in line with the company's financial goals * Analyze historical event budgets and expenditure data to identify cost-saving opportunities and areas for optimizations * Develop and manage event budgets, considering all expenses, revenue, and potential cost-saving measures, and track and report on event expenses, ensuring adherence to the allocated budget * Create and maintain event databases to provide financial analysis and post-event reports, evaluating the return on investment.
