The Department of Veterinary Clinical Sciences (VCS) is seeking an Administrative Assistant II to join our growing department and administrative team. This position will provide high-level administrative support to VCS faculty and management of other departmental needs. We strongly believe in a healthy work-life balance and have structured this position to allow for a hybrid schedule, with up to two days of teleworking per week, after completing a successful probationary period.

The successful candidate’s key functions will be to provide Workday support to VCS faculty, and house officer overflow - including submissions and monitoring for approvals of requisitions, spend authorizations, expense reports, and other Workday functions, assist HR and the department chair with temporary departmental and locum appointments, assistance with faculty recruitment and faculty search processes to ensure SHIFT compliance, maintain the department website and manage other department data as needed. They will also assist with other department initiatives and needs such as managing and working with confidential information, coordination and support for departmental events, scheduling meetings(in-person or via Zoom), overseeing the scheduling of VMC conference rooms, composing both internal and external communications; along with providing Qualtrics, and Doodle Poll assistance and general administrative support for our faculty. Additional projects and duties may be assigned as the needs of the department evolve.

This position requires strong attention to detail, problem-solving, and the ability to effectively prioritize, organize, and execute work in a fast-paced, team-oriented environment. Strong verbal and written communication skills are imperative.

Requirements:

“Per CCS rules; 3 -5 years of administrative support in a higher education environment or office experience is preferred, experience working with confidential information, data entry and reporting, planning and/or coordinating events, website maintenance, strong written, verbal and organizational skills along with excellent attention to detail. Experience working with Excel, PowerPoint, Word, Microsoft Teams, Skype, Workday, Zoom is preferred.”

This position is a 1.0 FTE, allowing 40 hours/week with full benefits.

Additional Information:

Target Salary Range: $18.37 - $23.99 per hour; commensurate with experience, internal equity, the unit’s available budget, and the candidate’s qualifications.
