Aston Carter Senior Operations Coordinator in Cleveland, Ohio

Job Title: Senior Operations CoordinatorJob Description

We are seeking a highly efficient Senior Operations Coordinator who can effectively execute all tasks associated with the Operations Coordinator role. This position involves managing, assigning, and processing work order requests across business units, overseeing daily mail processes, and ensuring the mailroom is organized and well-stocked. The role also includes coordinating office supply orders, monitoring and distributing messages, and preparing workspaces for new hires, terminations, and internal desk moves. Additionally, the coordinator will maintain welcome booklets and office floor maps, coordinate building safety and evacuation planning, process business card requests, and manage scanning projects.

Responsibilities

  • Manage and process work order requests from business units companywide.

  • Oversee daily mail processes and ensure the mailroom is organized and well-stocked with supplies.

  • Ensure the postage meter has adequate funds and supplies.

  • Look for ways to reduce incoming mail volume.

  • Process online office supply orders as needed.

  • Monitor and distribute messages received to the Cleveland general voicemail.

  • Prepare workspaces for new hires, terminations, and internal desk moves.

  • Maintain and manage the Welcome booklet and ensure details are current.

  • Update and maintain office floor maps for all locations.

  • Coordinate building safety and evacuation planning with Loss Control staff.

  • Train staff to ensure safety compliance measures are met.

  • Process business card requests for new employees, promotions, or departmental changes.

  • Coordinate scanning projects and ensure proper document archiving and destruction.

  • Perform high volume printing, photocopying, binding, collating, and laminating as assigned.

  • Support branch locations for various services as needed.

  • Assist the Facilities Manager with the physical relocation of operations to new locations.

  • Handle and disseminate confidential and highly sensitive business and personal information with discretion.

Additional Skills & Qualifications

  • Associate degree in Business from a two-year college or technical school

  • One to three years of related experience or equivalent combination of education and experience

  • Ability to work independently and as a team player

  • Highly cooperative and patient, especially under stress

  • Pleasant and engaging personality

  • Ability to lift up to 10 pounds frequently, 25 pounds occasionally, and 50 pounds as needed

Work Environment

The work environment involves handling various tasks in an office setting, with a focus on customer service and support functions. The position requires occasional lifting of office supplies and equipment. The role demands a professional demeanor and the ability to work independently, as well as part of a team, in a collaborative environment.

Job Type & Location

This is a Contract to Hire position based out of Cleveland, OH.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
