Philips Executive Search Coordinator in Ciudad de Panama, Panama
The Executive Search Coordinator is an essential part of the Enterprise Talent & Search (ET&S) team’s success and the continued growth of our company. The Executive Search Coordinator is the central person in our Executive Search projects and the linking pin in all the stages in the search projects and stakeholders involved. You always keep the candidate's experience in mind, ensure that the recruiting team, internal clients, internal and external candidates and stakeholders are supported with full project coordination & communications, travel etc. Interacting with senior executives continuously, the Executive Search Coordinator consistently delivers high-quality service and support to the highest standards and with utmost professionalism. An integral part of the role is problem-solving within the search execution and administrative process, being a preferred, reliable resource to facilitating communication, information exchange and forward progress.
Your role:
Supporting globally all Executive Search activities such as scheduling interviews, managing interview schedules and providing assistance to external candidates/internal applicants/hiring managers and interview panel.
Own full project coordination for international active and pipeline search projects, supporting Executive Search Partner and Recruiters throughout the process.
Act as the central link across all project stages and stakeholders, ensuring a seamless experience for executive-level candidates, hiring teams, and ExCo-level managers.
Manage coordination, communication, travel, and logistics for internal and external stakeholders, ensuring confidentiality, discretion, and on-time delivery.
Support “special request projects” from executives—ranging from referrals, proactive hiring, talent intelligence, job descriptions, to external vendor management.
Interact regularly with senior executives, consistently delivering high-quality support with professionalism and attention to detail.
Problem-solve within the search and administrative processes, facilitating smooth communication, document flow, and progress.
Take ownership of project management—tracking progress, timelines, and deliverables across all active searches.
Anticipate project needs and proactively support search consultants and hiring teams, with focus on scheduling, updates, offers, and hiring logistics.
Driving and executing GBP checks and external background checks. Liaising with vendors and supporting with the process.

The role reports to an Executive Search Partner who manages a portfolio of global executive leadership roles whilst being an effective member of the global ET&S (Enterprise Talent & Search) team.
You'r the right fit if you have:
Bachelor/Master degree.
5+ years previous experience in an operational/business support/executive assistant/coordinator role, preferably in a project driven environment.
Strong organizational skills, prioritization skills, the ability to manage operational processes and make decisions, while maintaining extreme attention to detail.
Strong work ethic; self-directed, resourceful, able to work independently, being motivated by own drive and enthusiasm; demonstrated ability to work well in a global team, that operates across time zones (here especially North America)
Proven ability to work well under pressure, capable of adapting and responding to change and able to multitask.
Strong stakeholder management; demonstrated ability to partner with key stakeholders in execution of coordination initiatives, partners and influences (senior) leadership, is self-confident and capable in building proactive and meaningful relationships throughout our global organization.
Excellent communication skills; fluency in the English language, ability to influence and develop strong relationships, ability to push back on interviewers, and the ability to create professional messages and reports.
Continuous improvement mind-set with the ability to assess existing workflows and documentation and suggest practical enhancements.
Has a strong track record of solving complex problems, designing creative strategies, and delivering significant impact as an executive search coordinator.
Thoughtful; thinks strategically, but stays on top of tactical execution – anticipates roadblocks and proactively creates solutions to ensure success.
Experiences and ability to work across geographies and time zones, especially North America.

Company relocation benefits will not be provided for this position. For this position, you must reside in or within commuting distance to Ciudad de Panamá.
