The Senior Facilities & Contractor Services Specialist is responsible for coordinating the Contract Administration Group. The Contract Administration Team is a cross-functional group that covers the procurement, requisitioning and purchase order issuance for contracted services as well as the accounts payable and invoice resolution processes. Also plays a critical role in identifying cost savings opportunities within the procurement and contracted services function. Provides general oversite of contracted services to ensure the safe execution of work.
The Senior Facilities & Contractor Services Specialist is tasked with ensuring that all contracted facility and maintenance services required for safe and reliable plant operations are effectively planned, procured, executed, and monitored. The role ensures consistent execution of contracting processes, contractor safety requirements, and facility service operations.
Key Responsibilities
Leadership & Team Direction
Define team responsibilities, establish priorities, and drive timely and accurate completion of procurement, requisitioning, purchase‑order processing, and invoice workflows.
Lead, coach and support the procurement and accounts payable team members by providing ongoing guidance, removing operational barriers, and ensuring the team has the tools and alignment needed to deliver consistent procurement and AP performance.
Evaluate contractor spend to identify cost‑saving opportunities, and guide the team to explore, develop, and implement cost savings initiatives.
Facility Services & Maintenance Support
Liaise with Operations, Maintenance, Engineering, and other site stakeholders to understand service needs and ensure those needs are met by approved, qualified contractors.
Direct the team in the day‑to‑day coordination of contracted facility and maintenance services, ensuring work is executed safely, efficiently, and in alignment with site priorities.
Guide the team in contractor onboarding, field coordination, work permitting and oversight to support smooth and compliant execution of onsite activities.
Ensure consistent application of contractor prequalification, orientation, and safety requirements to support safe and reliable work performance.
Direct implementation of the contractor safety management process, including participation in field audits, inspections, JSAs, and incident follow‑up.
Leadership & Cross‑Functional Influence
Setting direction, shaping expectations, and driving a culture of safe, reliable, and high‑quality contracted work, while serving as the primary resource for site teams to identify and secure the appropriate qualified contracted services.
Serve as a catalyst for change by identifying improvement opportunities and leading cross‑functional teams to develop and implement practical, site‑aligned solutions.
Engage cross‑functional partners across Operations, Maintenance, Engineering, EH&S, Procurement, and Finance to shape a shared understanding of the site's evolving approach to contracted services and to ensure that service models support site strategy and performance goals.
Serve as the primary liaison between varying stakeholders and contractor companies, facilitating clear communication, resolving misunderstandings, and guiding arbitration or dispute discussions related to work quality, scope, performance, invoicing, and other service concerns.
Ensure transparent communication flows between the facility and contractor teams, promoting alignment on expectations, schedules, work execution needs, and safety considerations.
Represent the site’s priorities, values, and strategic direction in all interactions with contractor leadership and service providers.
Lead or participate in cross‑functional meetings to ensure strong alignment on contracted service needs, workforce planning, and continuous improvement initiatives.
20% travel
Qualifications:
Bachelor’s degree or 4+ years of equivalent relevant experience required.
7+ years preferred; in plant operations and/or EHS, with exposure to general contracting, financial controls, construction, maintenance, temporary staffing, and/or contract administration ideal.
Ability to lead teams and manage processes with minimal oversight.
Strong multitasking skills with the ability to set and communicate priorities effectively.
Excellent oral and written communication skills; able to present to all organizational levels.
Demonstrated ability to develop and execute effective plans.
Proficient in Microsoft Office; ability to quickly learn work order and purchasing systems such as SAP.
