Insight Global Service Coordinator in Chino, California

Job Description

Insight Global s is seeking an experienced Automation Service Coordinator to join our Chino, CA branch. This role is integral to supporting the Service and Sales teams while serving as a key point of contact for our local customers. The Service Coordinator is responsible for reviewing service work orders, supporting service billing and collections, developing service bid templates and proposals, coordinating closely with the Service Project Manager, and maintaining proactive customer communication to ensure exceptional service delivery and customer satisfaction.

Essential Duties and Responsibilities

Perform weekly reviews of service aging reports to ensure service projects and maintenance agreements are accurately invoiced and properly closed upon completion.

Review technician service reports to confirm accurate diagnosis and resolution of service calls; follow up with customers to discuss findings and verify work completion.

Partner with the Service Coordinator/Dispatcher to support efficient scheduling and prompt customer response times.

Develop and/or complete detailed written scopes of work for quoted maintenance services and service projects.

Conduct site visits to gather necessary information for maintenance and service project quotes and to ensure customer satisfaction.

Communicate with internal teams and external customers to obtain information required for preparing service maintenance and project proposals.

Collaborate with vendors to obtain pricing and service cost information needed for maintenance and project quotes.

Support the Service/Sales Account Manager in developing and completing bid templates for service maintenance and project proposals.

Assist the Service Project Manager with change order proposals, material procurement, and service project closeout documentation.

Prepare maintenance binders and required deliverables for maintenance program offerings.

Coordinate effectively with internal departments to ensure timely and accurate completion of assigned tasks.

Skills and Requirements

• Bachelor’s degree in related discipline; or a minimum of 5 years of experience in the HVAC automation industry (preferred).

• Demonstrates excellent communication abilities and thrives in a collaborative, team focused environment.

• Exceptional ability to build and maintain positive client relationships

• Skilled in developing trust and rapport with clients at all levels

• Valid driver’s license with an acceptable driving record.
