Executive Administrative Assistant
Chicago, IL (In-Office | Must be local)
$29/hour (approximately $60,000 annually, based on 40 hours/week)
Join a leading global financial services organization supporting senior leadership in a fast-paced, highly professional environment. This is a hands-on administrative support role intended for candidates whose primary professional background is in administrative or executive assistant work, supporting managers or senior leaders in a corporate office setting.
This is a dedicated administrative support role and does not include people management or operational leadership responsibilities.
You’ll join a team-based administrative pool providing day-to-day executive support to senior leaders and teams. This role is best suited for experienced admins who are comfortable supporting multiple executives in a high-volume environment.
What You’ll Be Doing
Provide executive-level administrative support within a shared services / administrative pool model
Support multiple senior stakeholders , adapting coverage as business needs change
Manage busy, multi-time-zone calendars , prioritizing conflicting requests with sound judgment
Coordinate internal and external meetings, including video and conference calls
Manage high-volume phone communication with professionalism and accuracy
Arrange domestic and international travel , including visa coordination as needed
Submit expense reports accurately and on time
Partner with conference services on meeting logistics, catering, and guest coordination
Handle confidential information with discretion and adhere to compliance requirements
Assist with projects and ad hoc administrative needs
What We’re Looking For
3–5 years of administrative or executive assistant experience supporting senior leaders
Recent experience working in a large organization (financial services, professional services, government, healthcare, or similarly structured corporate environments preferred)
Comfortable supporting multiple stakeholders and managing competing priorities
Strong organizational skills, attention to detail, and follow-through
Calm under pressure with strong judgment and follow-through
Professional communication skills and the ability to interact confidently with senior leaders
Proficiency in Outlook, Word, Excel, PowerPoint, and Zoom
Experience with SAP Concur or similar expense platforms is a plus
