The Opportunity
In this role, you will be responsible for overseeing the daily operations of the License Renewal Coordinators to ensure timely and accurate submission of all required licenses, thereby mitigating the risk of fines, penalties, or operational disruptions. You will manage the escalation of issues related to store licensing, maintain comprehensive and compliant records, and support the Manager of Store Set-up and Licensing in developing and refining departmental procedures. Your ability to interpret and apply regulatory requirements at the state, city, county, and health department levels will be essential. You will serve as a departmental resource in the Manager’s absence, ensuring continuity and compliance across all licensing activities.
Specific responsibilities include but are not limited to:
Responsible for ensuring that the renewal of various licenses for every store location in our portfolio are completed in a timely manner
Balance workloads and assign projects for License Renewal Specialists
Assist with department documentation (administrative manual, instructions, memos, etcetera)
Assist and be responsible for providing support to the Manager of Licensing as needed and with development of processes and procedures
Responsible for ensuring contact of the necessary entities, completing the required applications, and paying the appropriate fees to maintain the licenses
Responsible to assist with recruitment, interview, selection, orientation and training of new associates; cross-train existing associates when appropriate
Assess performance of team members, then provide consistent fact based and balanced feedback
Responsible for updating / maintaining current training documents for reference by new and current associates
Responsible for running reports and maintaining data integrity in our system-of-record as may be required (i.e.: summary of GL budget variance by period) as well as supporting Manager in providing information needed for periodic reports and budgets.
Track sick and PTO for direct reports
Approve time off requests for direct reports
Complete weekly time approval
Complete and deliver annual evaluations to direct reports.
Minimum Requirements/Qualifications:
High school graduate or GED equivalent
Ability to handle multiple priorities in a fast-paced environment
Minimum required typing speed of 45 wpm
Must be able to calculate license fees based on inventory, gross sales
Extensive experience in word-processing, spreadsheet and web-based software applications
Must have strong business writing skills, effective communication and interpersonal skills
Must be a motivated self-starter with the ability to work independently and within a team
Must possess a high degree of organizational skills with the ability to effectively prioritize multiple renewals, with multiple due dates/deadlines
Must have the ability to recognize the need for action and quickly arrive at accurate decisions
Ability to direct associates to be teams in efficient and team building manner
Ability to keep a positive attitude in a fast-paced environment
Preferred Qualifications:
Experience in city or government finance
Property tax or tax billing
Accounts receivable/payable
Previous leadership experience
