Egan Company Administrative Coordinator in Champlin, Minnesota
Overview Egan Company is seeking a motivated Administrative Coordinator to provide essential support to our team and ensure smooth daily operations. In this role, you will be the first point of contact for visitors, managing front desk coverage, greeting guests, handling calls, and coordinating mail and deliveries. You will keep shared spaces organized and well-stocked while supporting clerical tasks such as filing, scanning, copying, mass printing, mailings, and faxing. Additionally, you will assist Accounting, Safety, and HR teams, manage office inventory, coordinate cross-department projects and safety lunches, and help ensure accurate processing of invoices. The ideal candidate will have at least 2 years of experience in reception or administrative roles, a high school diploma or equivalent, excellent customer service skills, strong organizational and time management abilities, and the flexibility to manage busy periods both independently and as part of a team. This is a fully in-person position. All job duties are performed on-site at our headquarters in Champlin, MN. Responsibilities The responsibilities of the Administrative Coordinator include but are not limited to the following: Greet and welcome visitors with a friendly, professional attitude Manage front desk coverage, including visitor check-in and badge issuance Answer and direct calls on the main phone line promptly and courteously Sort and distribute incoming mail, packages, and deliveries Help keep shared spaces: Lobby, kitchens, and conference rooms, clean, organized, and well stocked Support the team with clerical tasks such as filing, scanning, copying, mass printings and mailings, and faxing Monitor office supply levels and place orders to keep everything running smoothly Keep office inventory rooms organized and order supplies as needed Assist Accounting, Safety, and HR teams with administrative and clerical tasks Support other departments cross-functionally to help projects run smoothly Coordinate safety lunches cross-functionally and ensure invoices are properly processed and coded Requirements Minimum of 2 years' experience in reception, administrative, or related office roles High school diploma or equivalent required Demonstrated reliability and ability to handle confidential information responsibly Qualifications & Competencies Comfortable managing busy periods, shifting priorities, and working effectively as part of a team and independently Strong customer and client service skills with a friendly, approachable attitude Eagerness to learn, grow, and develop new skills Excellent time management and organizational abilities Clear and confident communicator, both over the phone and in person Self-starter with strong initiative and follow-through. Attention to detail and ability to question if something does not look correct. Foresee events and anticipate changes in conditions and operations to the greatest extent possible and reacts to these appropriately. Working Conditions Full-time in-office Monday through Friday Ability to sit, stand, walk, climb stairs, and moving around the office for extended periods of time. Salary Range: $23.62-$32.93 per hour (subject to such factors as experience, education, and/or skill set) plus potential annual discretionary bonus.
