Position Summary
The Human Resources Coordinator plays a key role in supporting day-to-day HR operations with approximately 200 employees across 14 U.S. locations and growing. This role is primarily responsible for employee onboarding, coordinating recruitment activities, and providing entry-level benefits administration support. The ideal candidate is organized, detail-oriented, customer-focused, and comfortable working in a fast-paced, multi-location environment.
Key Responsibilities
Onboarding & Employee Lifecycle Support
Coordinate and manage the full onboarding process for new hires across multiple states and locations
Prepare and distribute offer letters, onboarding packets, and new hire documentation
Ensure completion of I-9s, E-Verify (if applicable), background checks, and new hire paperwork in compliance with federal and state regulations
Enter, update, and maintain employee records in the HRIS
Partner with managers to ensure smooth first-day and first-week onboarding experiences
Support employee status changes, transfers, promotions, and terminations as needed
Recruitment Coordination
Post job openings to internal and external job boards
Coordinate interview scheduling with hiring managers and candidates across multiple time zones
Communicate with candidates throughout the hiring process to ensure a positive candidate experience
Track applicants and hiring activity in the applicant tracking system (ATS)
Benefits Administration (Entry-Level)
Assist with benefits enrollment for new hires, life events, and annual open enrollment
Support benefits audits and data accuracy between vendors and the HRIS
Coordinate benefit eligibility tracking and documentation
Escalate benefits issues to benefits vendors or broker as appropriate
HR Operations & Compliance
Maintain employee personnel files in accordance with record retention requirements
Assist with HR audits, compliance reporting, and policy administration
Support HR projects and initiatives as assigned
Provide general administrative support to the HR department
Qualifications
Bachelor’s degree in human resources or related field
1–3 years of HR, recruiting coordination, or administrative experience
Experience supporting multi-location or hourly workforce environments preferred
Excellent written and verbal communication skills
Proficiency with Microsoft Office (Word, Excel, Outlook)
Experience in construction, retail or skilled trades environments is a plus
Familiarity with HRIS and ATS platforms
HR certification (PHR, aPHR, SHRM-CP) or interest in pursuing certification is a plus

Standard business hours with flexibility to support multiple time zones
Occasional travel may be required

Expected Base Pay Range: $28.00 to $35.00 Hourly
The base pay range included is a projected hiring range for a position, level and potential work location(s) listed. Topcon provides the compensation range that it in good faith believes it might pay and/or offer for this position. This compensation range is based on a full-time schedule.
