Abt Global Inc. Expression of Interest: Program Coordinator - International Delivery Practice in Canberra, Australia

The Opportunity

As a key member of the Program Delivery Team, the Program Coordinator works to support the delivery of Abt’s international programs by providing administrative, coordination, and operational support across program mobilisation and ongoing implementation.

The role contributes to the smooth day‑to‑day functioning of programs by supporting procurement, contracting, human resources, finance, logistics, and records management, and by ensuring operational systems, policies, and processes are followed. The Program Coordinator also supports the identification, tracking, and reporting of operational risks and issues, and contributes to continuous improvement of administrative and operational practices.

The position may require domestic and in‑country travel to support program mobilisation and surge support activities.

This is an expression of interest and funding of the position is contingent on award of work to Abt Global. Terms and duration of contract are also contingent upon award.

Core Responsibilities

Program Administration and Coordination

  • Provide administrative and coordination support to Program Managers and Program Delivery Leads to support effective program delivery.

  • Support program mobilisation and demobilisation activities, working closely with the Mobilisation Lead on tasks.

  • Coordinate and manage small programs, helpdesks, and special projects, and proactively engage in stretch opportunities to support priority work and professional development.

  • Maintain and regularly update key program documents and data capture systems (e.g. PERFORMS).

  • Review, edit, format, and quality‑check program documentation and reports in line with Abt and program style guides.

  • Ensure effective records and documentation management in line with Abt requirements.

Finance and Contract Administration Support

  • Coordinate the processing of short‑term adviser invoices and reimbursement claims, and manage tracking tools to enable ongoing monitoring of adviser inputs.

  • Support the administration of long‑term adviser timesheets and payroll documentation.

  • Support grants and subcontract administration, including contract preparation, amendments, invoice processing, and tranche payment reviews, as required.

  • Provide administrative support to Program Managers and Program Delivery Leads for head contracts and Service Orders, including maintaining checklists and tracking documentation.

HR and Personnel Support

  • Draft personnel contracts and checklists and ensure personnel records are accurate and up to date in relevant systems (e.g. ATLAS, R Drive, CASPR).

  • Coordinate and provide administrative support to recruitment processes, including job advertising, shortlisting and interview coordination.

  • Working closely with the Abt Insurance Specialist, ensure that program insurance records are maintained for advisers and conduct monthly reviews and updates.

Systems, Compliance and Quality Support

  • Support program and corporate quality assurance processes, including maintaining PERFORMS data, conducting monthly spot checks (e.g. APAs, NetSuite), and addressing audit findings and documentation requirements.

  • Support compliance with operational systems, policies, and procedures, and assist with identifying opportunities for improvement.

  • Provide guidance, training and support to program staff and delivery staff in the use of administrative and operational systems and processes.

Business Development and Other Support

  • Provide administrative and coordination support to business development activities as required.

  • Support reputational capital‑building activities from time to time.

  • Undertake other reasonable duties consistent with the role as directed.

What We Value

  • Tertiary qualifications in international development or related field preferable

  • Demonstrable experience working in a similar role with experience using financial management systems and human resource information systems

  • Demonstrated ability to manage multiple tasks and priorities concurrently, maintain accurate records and trackers, and meet deadlines in fast‑paced and evolving program environments.

  • Ability to work collaboratively in a team environment and cross-culturally

  • Proficient in the use of MS Office, especially Word and Excel

  • Bachelor’s Degree + Two years of relevant experience, or High school diploma + Four years of relevant experience
