Job Description:
Work Schedule: Monday - Friday 8am - 5pm
Executive & Department Support: Coordinates and maintains the Executive’s calendar, manages meetings, and provides direct administrative support to the Executive and department.
Communications & Coordination: Manages all departmental communications, including phone calls, correspondence, mail, call routing, troubleshooting, and follow-up.
Financial & Administrative Management: Oversees invoice processing, expense reports, supply ordering, and supports budget development and strategic planning.
Reporting, Documentation & Systems: Develops and maintains Excel reports, PowerPoint presentations, meeting minutes, and manages the department’s electronic filing system.
Project & Organizational Engagement: Assists with departmental projects, participates in cross-functional teams and task forces, and represents the department internally and at community events.
Knowledge, Skills, and Abilities:
• Proficient with computer programs with word processing: PowerPoint, Excel and Word. [Required]
• Demonstrates interpersonal skills by effectively communicating with all levels of management and outside venders. [Required]
• Strong emphasis on organizational skills and strong attention to detail and ability and willingness to multi task. [Required]
• Ability to deal with data that is of a sensitive and confidential nature. [Required]
• Displays professional interactions with all levels of internal and external customers as demonstrated by work history and interview process. [Required]
Education:
• Associate [Preferred]
• Bachelor's [Preferred]
• High School Grad or Equiv [Required]
Field of Study:
• Associate's Degree in Business or related field Preferred
• Bachelor's Degree in Business or related field Preferred
Work Experience:
• 5+ years of secretarial/administrative experience [Preferred]
