Your Opportunity

Stantec is seeking a detail-oriented and organized Junior Document Controller to support project operations across multiple sites. This role will assist in managing project documentation, coordinating communications, and ensuring efficient document control processes are maintained in accordance with project requirements.

Your Key Responsibilities

  • Attend project meetings and prepare accurate meeting minutes.

  • Process and track Submittals and RFIs, including distribution and return.

  • Process monthly invoices in accordance with project requirements.

  • Assist with Change Management documentation, including: - Change Order Requests (COR)

  • Notices of Proposed Change (NPC)

  • Change Orders (CO)

  • Maintain and update project logs (RFI, submittals, change management, etc.).

  • Archive project emails into appropriate folders and systems.

  • Coordinate and transmit documents to clients and subcontractors.

  • Schedule and coordinate meetings, including booking and logistics.

  • Act as a point of contact on-site for document control support.

  • Support safety protocols, including: - Headcount tracking.

  • Distribution of HASP and orientations.

  • Order and manage office/site supplies as required.

  • Work across multiple project sites (BBWWTP & FCUP).

Your Capabilities and Credentials

  • Strong attention to detail and organizational skills.

  • Ability to manage multiple tasks and deadlines.

  • Effective written and verbal communication skills.

  • Proficiency in Microsoft Office (Excel, Word, Outlook).

  • Willingness to learn new systems and processes.

  • Ability to work both independently and as part of a team.

Education and Experience

  • High school diploma or equivalent, a minimum of two to three years of related experience; or an equivalent

combination of education and related experience.

  • Learn and utilize document management systems such as: - Autodesk Construction Cloud (ACC).

  • InEight.

  • SharePoint.

  • Requires experienced coordination with project teams, consultants, and contractors

  • Previous experience in document control or construction environment preferred.

  • Familiarity with project management or document management systems preferred.

Typical office environment working with computers and remaining sedentary for long periods of time: Site-based role supporting operations across BBWWTP and FCUP projects in Calgary. Field work may include exposure to the elements including inclement weather.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
