Job Description:
Reporting to the Manager, Project Services & Asset Information, the Document Control Coordinator supports the Document Control team in the fulfillment of their obligations to a wide variety of AltaLink Projects, Operations, and Regulatory stakeholders. This position will be accountable for a variety of functions within the team as outlined in the responsibilities below. In order to be effective in their position and in their interactions with various business partners, the candidate will have knowledge of document management systems, documentation packages (i.e. drawing lifecycle and stages, regulatory submissions), as well as engineering and project nomenclature (i.e. transmittals, reference, drawings, models etc.). This position requires the candidate to adhere to defined document management, project deliverable, and asset data standards, processes, and quality control guidelines. The successful candidate will demonstrate positivity, flexibility, a governance focused mindset, and innovation in dealing with changing priorities, problem-solving, and stakeholder engagement. Previous experience in Capital Projects, EPC, Asset Management, and/or Regulatory environments is preferred.
Responsibilities:
Work closely with the Document Control Lead to define and coordinate information collection and reporting for various annual audit processes for Project Delivery, Project Engineering, Project Development and Operations teams.
Support the Project Governance Lead with the coordination, upload, and organization of DACDA document collection.
Fulfill, track and close information requests from a variety of internal and external stakeholders.
Support Document Control Lead with establishing and maintaining relationships between Document Control, project and asset teams, internal and external EPC resources, ensuring all project and operational documentation is complete, actionable, and captured in alignment with defined timelines.
Support process improvement within the business function, by creating and updating document control processes, identifying opportunities for automation and efficiency enhancements, and assisting with implementing system and process changes with impacted project teams, EPC’s and other internal stakeholders.
Communicate with the appropriate parties internally / externally, tracking, reporting upon, and ensuring that all required documentation is obtained and distributed (e.g. Stage Gate and project closeout reporting).
Manage documentation in AltaLink’s document management system(s), perform quality checks, investigate and problem-solve as required and save to Document of Record.
Support department initiatives and goals by participating in system and process user testing, contribute to preparation of training materials, and support associated change management.
Support document management system administration by assisting users with system access, creating and maintaining user groups as required, support day to day user questions, ensure users are adhering to the processes and procedures established, provide training for new business users, and other tasks as required.

Requirements
Qualifications:
Minimum of High School Diploma. Post secondary education, or an equivalent combination of education and experience is preferred.
Minimum of 5 years of experience in document management system environments.
Proven ability/experience in the above noted responsibilities.
A solid understanding of records management policies and practices.
Proven track record of facilitating and implementing process improvement within a document control environment.
Experience in a lead role within a team, with a strong ability to lead by example, mentor, coach, train and act as a positive role model for the team considered an asset.
Exposure to engineering project environments and knowledge of engineering terminology, ability to read and classify drawings and documentation.
Demonstrated ability to work independently and in a team environment.
Strong time management, organizational, and project management skills, with a high level of awareness concerning the relationship of work scope, time and resources.
Attention to detail, ensuring quality, accuracy, and completeness of documentation deliverables.
Demonstrated ability to apply critical thinking, analytical and problem-solving skills while exercising sound judgment.
Superior verbal and written communication skills, coupled with strong active listening skills.
A self-motivated individual with strong initiative, and the ability to multi-task and adapt and pivot quickly to shifting priorities.
Working knowledge of MS365 applications (Outlook, Word, Excel, Teams, SharePoint), Adobe Acrobat, Visio, databases, and Bentley ProjectWise Explorer. Proficiency and previous experience with administering document management systems.
Effective communication and interpersonal skills to interface with team members and customers to promote positive customer outcomes.
Proven track record of good attendance and performance.
