Confidential Executive Assistant
POSITION DETAILS
The Office of Human Resources is seeking a proactive, highly organized, skilled, and dependable administrative professional to serve as the Confidential Executive Assistant to the Executive Director of Human Resources. Reporting directly to the Executive Director, the Executive Assistant will manage day-to-day operations and provide high-level administrative support.
Key responsibilities include:
• Maintaining the highest level of confidentiality, professionalism, and diplomacy in all interactions
• Handling incoming calls and in-person inquiries; screening visitors and providing assistance as needed.
• Reviewing and ensuring the accuracy of Human Resources documents, including drafts, reports, HEO letters, reappointment letters, and personnel and budget letters, prior to signature.
• Managing multiple assignments simultaneously and independently with minimal supervision.
• Collecting and organizing monthly metrics and timesheets for direct reports.
• Managing time and leave requests using calendar and Excel tracking systems.
• Maintaining organized filing systems and identifying opportunities to improve office processes.
QUALIFICATIONS
Minimum Qualifications:
Bachelor’s degree and four years of related experience required.
Preferred Qualifications:
• Current CUNY employee.
• Four years of full-time executive office experience in higher education, including extensive interaction with administrators, faculty, and students.
• Demonstrated professionalism, discretion, and ability to maintain confidentiality.
• Exceptional attention to detail and strong decision-making skills.
CUNY TITLE OVERVIEW
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
Procures required internal and external resources and services and manages their utilization
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
Participates in special projects and efforts to improve unit effectiveness
Performs related duties as assigned.
This position is excluded from union representation.

COMPENSATION AND BENEFITS
Salary commensurate with education and experience: $79,598-$86,741
