SUMMARY

The Office Assistant 1 (OA1) functions under the direct supervision and guidance of designated supervisor in the performance of assigned duties. The supervisor oversees and instructs them in how to perform unusual or special procedures and techniques, spot-checks work and provides overall direction, and guidance.

The OA1 provides support for students seeking care in Hazen Center for Integrated Care Counseling and Health clinics. The OA1 will have a basic understanding of the functioning of a busy medical office. The OA1 will be able to handle conflicting priorities, have excellent time management skills and a demonstrated attention to detail with a professional demeanor. The OA1 will be punctual and dependable.

JOB FUNCTIONS

Duties would include, but are not necessarily be limited to:

  • Provides excellent customer service in a polite, professional manner to students, parents, campus community members and constituents. This includes in-person interaction, via phone, as well as electronic communications like email and secure messaging

  • The OA1 answers Health and Counseling Center phones in a professional manner and route calls to appropriate office or staff member by identifying nature and urgency of caller’s request/reason for call. The OA1 can address calls as appropriate with their role and knowledge base.

  • Schedules student appointments, including same day and urgent requests using the electronic scheduling system for both the Health and Counseling Centers

  • Will have general understanding of the scheduling system and clinic flow

  • Provides direction and troubleshooting for technology issues, including self-check-in area

  • Ensures insurance information and demographic information are correct in the appointment system before the student’s visit

  • Privacy/Confidentiality: Maintains confidentiality and privacy for the student while using the EHR, in the general workspace, and on the telephone, follows general HIPAA guidelines as established by Hazen and College policies

  • Maintains medical records including EMR (Electronic medical records) including filing/scanning, data entry, and record management per supervisor instruction

  • Uses office computer software including Microsoft Teams, Excel and Word

  • Maintains operations by following policies and procedures

  • Processes incoming and outgoing mail/reports and delivers mail to designated personnel

  • Routes patient correspondence and information as required

  • May assist with work orders for departments such as IT, telecommunications and facilities

  • Answers questions regarding standardized NYS immunization requirements for attendance

  • Provides verification of immunization data submitted by students and notification of missing requirements to student using standardized responses

  • Completes accurate data entry of immunization history into the electronic medical record as needed

  • Manages reception area to maintain a professional, comfortable environment

  • Participates in staff meetings with input, suggestions for improvement, and problem solving

  • Participates in quality improvement initiatives

  • Participates in professional development as appropriate

  • Shares in holiday/weekend coverage as well as summer orientation and campus outreach events with other staff as needed

REQUIREMENTS

Minimum Qualifications:

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

There are no minimum education or experience requirements for this title.

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):

Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Brockport location.

Work Schedule:

37.5 hours/week: Monday - Friday 8:00am - 4:45pm
