Job Title: Logistics Administrator

Job Description

The Logistics Administrator serves as a key point of contact between internal teams, customers, and logistics partners, with a strong focus on coordinating outbound shipments, ensuring documentation and compliance accuracy, maintaining ERP data, and providing clear and timely customer communication. This role supports on-time delivery, accurate invoicing, and audit-ready records in a fast-paced, deadline-driven environment.

Responsibilities

  • Coordinate outbound shipments to ensure on-time delivery in alignment with customer requirements and production schedules.

  • Serve as the primary liaison between carriers, customers, internal manufacturing teams, and account stakeholders to support smooth shipment execution.

  • Plan and coordinate LTL, parcel, and expedited shipments based on customer and business needs.

  • Obtain freight rate quotes, support carrier selection, and calculate freight charges and customer upcharges accurately.

  • Prepare, audit, and maintain all shipping documentation, including bills of lading, packing slips, invoices, and export paperwork.

  • Process and reconcile shipping invoices, ensuring accuracy against customer purchase orders, quotes, and sales orders.

  • Enter invoices into customer portals and internal ERP systems in a timely and accurate manner.

  • Maintain organized shipment files and ensure documentation is audit-ready at all times.

  • Reconcile monthly freight reports and file freight claims when necessary.

  • Maintain required export documentation, including NAFTA certificates and customs paperwork, in compliance with applicable requirements.

  • Enter and maintain shipment data within ERP systems, such as Sage or SAP, ensuring data integrity.

  • Maintain open and closed sales order records, ensuring accuracy throughout the shipment lifecycle.

  • Create and maintain operational logs, including late delivery reports, manual shipment logs, and daily invoicing summaries.

  • Collaborate with internal teams to resolve shipment issues, documentation discrepancies, and customer inquiries promptly.

  • Prioritize and manage multiple tasks and deadlines while maintaining high standards of accuracy and customer service.

Essential Skills

  • Minimum of 2 years of experience in logistics, order processing, or a related administrative role.

  • Experience working with an ERP or CRM system, such as Sage or SAP.

  • Proficiency with Microsoft Office, including Outlook and Excel.

  • Strong attention to detail with a focus on documentation and data accuracy.

  • Excellent communication skills with a customer service mindset.

  • Ability to prioritize tasks and manage time effectively in a fast-paced, deadline-driven environment.

  • Comfort working across multiple systems and customer portals.

  • Strong organizational and follow-up skills.

  • Ability to perform accurate data entry and maintain structured records.

Additional Skills & Qualifications

  • Experience with Sage ERP is highly beneficial, but any ERP exp will do

  • Background in logistics coordination, shipping documentation is ideal

  • Familiarity with export documentation, including NAFTA certificates and customs paperwork, is a plus.

  • Experience reconciling freight reports and filing freight claims is helpful.

  • Ability to collaborate effectively with manufacturing, customer service, and carrier partners.

Work Environment

This is an on-site, Monday through Friday position with standard hours of 7:00 a.m. to 4:00 p.m., including a 30-minute unpaid lunch break. The role is primarily desk-based and requires comfort sitting at a workstation for extended periods while working in ERP systems, customer portals, and Microsoft Office applications. The team environment is friendly and well-tenured, offering support and knowledge sharing. The position is structured as a 6-month contract-to-hire opportunity, providing a path to longer-term employment for strong performers.

Job Type & Location

This is a Contract to Hire position based out of Brighton, MI.

Pay and Benefits

The pay range for this position is $24.00 - $26.00/hr.
