Brief Position Overview
We are recruiting for a Business Operations Manager who will work collaboratively bridging the research office with the Mark & Robyn Jones College of Nursing. This position reports to the Research Office Program Lead in the College of Nursing. The Business Operations Manager is responsible for completing a variety of fiscal, human resource, and administrative tasks.

General Statement
Make history and join our college by transforming nursing education and healthcare of Montana through the generous philanthropic investment of $101 million from Mark and Robyn Jones (https://www.montana.edu/news/21406) , the founders of Goosehead Insurance. By 2030, we strive to be on the top of nursing education through constructing five new campus buildings (one on each campus), the creation of five endowed professorships, student scholarships, producing more qualified nurses, and starting Montana’s first Certified Nurse Midwifery program.
The Mark and Robyn Jones College of Nursing ( MRJCON ) offers a baccalaureate in nursing, accelerated Baccalaureate in Nursing, Master of Nursing focused on clinical leadership, and Doctor of Nursing Practice with focus in family nurse practitioner, psych-mental health nurse practitioner, and nurse-midwifery. The College has five campus locations across the state, located in Billings, Bozeman, Great Falls, Kalispell, and Missoula.
Duties and Responsibilities
Administrative Operations & Finance
Stipend & scholarship disbursement
Assistance with travel and expense reports for students, staff, and faculty
Update and maintain budget portfolio for encumbrances
Review and submit financial transactions for compliance with budget/grant initiatives
Payroll reconciliation and salary spreadsheet maintenance for MRJCON indexes
Assist with personnel hiring for research and programs under the college’s oversight
Complete personnel action form related to MRJCON positions
Summer session appointments for tenure-track faculty
Update and submit incentive program for researcher forms
Assist with the maintenance of the teaching assignment database ( TAMS )
Assist departmental staff with procurement-related questions and processes.
Hospitality Approval Forms for accuracy and compliance.
Assist with the monthly Time and Effort reporting.
Contracts and Procurement
Create, route, and ensure payment of guest performer and honorarium contracts
Complete contracted service agreements through SmartBuy
Purchase goods and services through SmartBuy
Process invoices through SmartBuy
Add suppliers to SmartBuy as needed
Assist with bidding processes as appropriate
Assist with the capital and minor property inventory for MRJCON
Liaison & Coordination
- Liaison with University offices on all funds within the Nursing Org. such as: FSS , UBS , Procurement, OSP , etc.
Other Duties
Ad Hoc Reporting.
Other projects / program duties as needed.
Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s Degree or an equivalent combination of education and/or experience.
Demonstrated competence using personal computers and software, including word processing, spreadsheets, database / relational information systems, and email. Microsoft Office Suite is preferred.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Knowledge of applicable College and University policies and procedures.
Experience utilizing knowledge specialized to budgets, HR processes, procurement, and contract management.
The Successful Candidate Will
Work independently, exercising sound judgment, and making consistent decisions with minimal supervision, with progressively responsible experience including interpreting policies and procedures.
Manage multiple simultaneous projects, working efficiently under pressure, and managing conflicting priorities.
Effectively communicate and work with students, faculty, staff, administrators, and outside organizations.
Organize and prioritize workload, solve problems, and work under pressure while maintaining a high level of detail and meeting deadlines.
Effectively use excellent verbal and written communication skills.
Work collaboratively and cooperatively in a team environment both in-person and virtually.
Understand, implement, and utilize applicable College, University, OSP , Foundation, and grant policies and procedures.
