The Proposal Development Specialist supports the end-to-end preparation of public sector and commercial tenders across Latin America. The position leads the development of proposals, with responsibility for producing high-quality, client-centric and deadline-driven bids for various industries.

For assigned solutions, lead bids in compliance with defined processes and RFP requirements, identifying appropriate content and response gaps and ensuring the timely submission of responses. The Proposal Development Specialist remains involved with the opportunity after submission to assist with presentation development, best and final offers, customer debrief sessions and lessons learned discussions.

This role requires a thorough understanding of the proposal process, including analysis of customer RFPs and detailed compliance reviews. Knowledge of and experience with online bidding platforms is necessary, plus familiarity with current technology such as AI. Your experience includes the ability to build trusted relationships with key stakeholders across business lines and a track record of delivering successful outcomes for customers. In this role, you develop proposals that focus on resolving customer issues and driving positive change while ensuring that documents are RFP-compliant and consistent with Iron Mountain’s messaging, positioning and brand.

This is a fully remote role with minimal travel requirements.

Key Accountabilities:

  • Manage multiple, concurrent proposals in line with defined processes and best practices, ensuring documents are customer-focused and articulate value.

  • Lead each assigned RFP, including setting and maintaining proposal schedules, creating initial drafts, assigning tasks and coordinating content into a document.

  • Create first proposal drafts using a content management platform, and write and edit sections for continuity, logic, organization and compliance to emphasize Iron Mountain differentiators.

  • Analyze customer needs and support subject matter experts (SMEs) in creating customer-focused solution proposals, and coordinate proposal draft and final reviews.

  • Participate in draft reviews and provide guidance related to clarity, completeness, compliance and alignment with solution and evaluation criteria.

  • Communicate with designated subject matter experts (SMEs) to understand complex solutions, and develop and write non-standard content. Maintain professional working relationships with SMEs in function groups such as HR, Marketing, Legal, IT, Security and Operations.

  • Understand the intelligent use of graphics to improve comprehension and convey core messages.

  • Contribute new and updating existing regional content to the proposal library. This includes Q&A pairs, commonly used documents and graphics.

Knowledge, Skills and Experience

  • Professional fluency in English and Spanish (written and verbal) is required, and Portuguese proficiency is a plus.

  • Minimum two years experience developing proposals for the public sector and/or commercial markets.

  • Ability to prioritize and multitask in a fast-paced, challenging and deadline-driven environment.

  • Excellent writing, editing and proofreading skills.

  • Familiarity with service-based and/or technology and digital solutions.

  • Experience with procurement and bidding platforms such as Compras MX (Mexico) and SECOP II (Colombia) is helpful.

  • Proven track record in working with cross-functional teams that include SMEs from across the company.

  • Proficiency in MS Office, Google Suite, AI tools and Adobe Acrobat.

  • APMP (Association of Proposal Management Professionals) certification is a plus.
