Position Summary:

The College of Business at Florida Atlantic University is seeking an Assistant Coordinator, Management Programs - Boca Raton, FL.

The FAU College of Business is one of the largest AACSB-accredited colleges of business in the United States with more than 8,000 students. The Management Programs Department is seeking a highly organized and proactive professional to support the operational and strategic activities of the department. This role plays a critical part in ensuring efficient office management, supporting faculty and academic programs, and enhancing student and alumni engagement. The ideal candidate will thrive in a collaborative academic environment and demonstrate strong administrative, communication, and coordination skills.

Summary of Responsibilities:

  • Work with the Management Programs department Chair, Coordinator, and other administrative personnel to ensure effective and efficient operation of the department office, including: Physically opening and closing the office each workday and coordinating coverage to ensure the department office is staffed during regular business hours.

  • Ensure that all office equipment is operational.

  • Answer office phones and greet/direct visitors as necessary, and sorting mail.

  • Provide administrative support to the department Chair, affiliated centers, and faculty as needed.

  • Supervise student workers and assist in the hiring process for PhD students, adjuncts, and faculty.

  • Assist the Coordinator in marketing department and affiliated center activities and initiatives by maintaining and updating department/center web pages and coordinating social media with the COB Communications staff.

  • Work with Chair, Coordinator, and faculty to assemble data required by the Dean’s office using the various tools available [Workday, Credentialing, Institutional Effectiveness reports, etc.].

  • Process faculty assignment and activity information in Interfolio for FAR each semester.

  • Support chair faculty evaluation documentation efforts.

  • Tabulate SPOT scores, calculate department GPA means, and document teaching assignment details for evaluations.

  • Support club events.

  • Book rooms for events, collaborate in event planning for reach to alumni, industry partners, and advisory board members.

  • Support alumni outreach.

  • Attend recruitment events, collaborate in outreach to alumni, and marketing to alumni.

  • Assist with contracts, credentialing, and the recruitment of faculty, staff, and students.

  • Assist with the promotion, development, and delivery of programs.

  • Collaborate to design and deliver marketing initiatives.

  • Prepare OPS department hiring spreadsheets each semester.

  • Ensure that various class scheduling requirements are completed with the guidance and support of the department Chair in coordination with the Dean’s office staff.

  • Assist in developing, overseeing, and updating the department’s digital storage.

  • Attend and/or take minutes at department or other meetings as needed.

  • Coordinate faculty textbook requests and syllabi certification review.

  • May provide leadership to students and represent the University in recruitment and/or retention efforts.

  • Other duties include resolving problems and communicating issues of concern to appropriate higher-level authorities.

  • May be asked to serve on department and/or University committees.

  • All other job-related duties as assigned.

Minimum Qualifications:

Bachelor's degree or higher from an accredited institution in an appropriate area of specialization required.

$45,000-52,000 per year
