Willards Garage Service Writer in Billings, Montana

Willard's Garage is a great place to work. You and your family are very important to us. We have flexible work hours if needed and on the job training. Our hours are Monday -- Friday, 7:15 a.m. -- 5:30 p.m. with an hour lunch and 2 paid 15 minute breaks. Benefits: 100% company paid Blue Cross Blue Shield Platinum Plan with a $750 deductible, 80/20 and $1,750 max out of pocket. Simple IRA or ROTH with up to 3% company match. Paid vacation. Pay depends on experience. Hourly pay paid weekly plus commission based on hours billed paid weekly, and a monthly commission. INTRODUCTION This Job Description establishes and describes the basic function, requirements, reporting relationships, tasks and duties and measures of performance for the functional position of Service Writer for Willards Garage. BASIC FUNCTION Perform high quality customer communication in a timely and profitable manner on all vehicles presented to the technicians for repair work. Ask customers' questions about their vehicle. Write up the work order with the customers concern with all the details for the technicians. Once the technician has completed the diag on the customer's vehicle, contact customer and explain the recommendations and an estimate of the cost. Once the customer makes the decision on the recommendations, follow up with the technician and shop foreman on the approvals from the customer. Once the repair is completed, finish the work order and inform the customer their vehicle is ready to be picked up. Communication from our service writers and the customer and technician is the key to our success and the easy part of the job. REQUIREMENTS EDUCATION: Minimum -- High School diploma, equivalency, or equivalent work experience. EXPERIENCE: 1 to 3 years of customer service or automotive service experience or related industry. SKILLS, KNOWLEDGE, AND ABILITIES: Strong Customer Communication Basic math knowledge. Valid driver's license and clean driving record. Strong understanding or willingness to learn auto mechanics and the ability to identify appropriate repairs for vehicle problems. The ability to break down complicated automotive or industry topics into understandable advice meant for customer understanding. Computer and data-entry skills. Organizational and record-keeping skills. Maintaining written records of calls, conversations, etc. Ability to stand, walk, sit, and lift 25 pounds. Have a teamwork mindset in the workplace and accept feedback on your work. Understand the typical format of company schedules to manage time efficiently. Ability to multitask, work in high-stress settings and offer flexible hours on your schedule. REPORTING RELATIONSHIPS The Service Writer reports to the Service Manager. TASKS AND DUTIES Provide excellent customer service from intake to release of vehicle and perform any additional follow-up. Listen carefully to customer descriptions and assess the vehicle to determine the best repair plan. Advise the customer on the auto repairs that you recommend and offer a pricing quote. Communicate with parts sellers and technicians to make sure everything needed is on hand. Provide updates to customers as their work is completed. Answer detailed questions about services performed and price information. Maintain customer records by keeping all files organized. Schedule appointments over the phone. Adhere to all Willards Garage policies and procedures. Perform required training. Responsible for filing warranties and insurance claims. Responsible for U-Haul processing rentals. Learn the mobility part of the business. Perform other duties as deemed necessary and communicated to you by management. MEASURES OF PERFORMANCE The Service Writer will be deemed to be performing in a satisfactory manner when the following are met: Maintain a good attendance and punctuality record. Properly completes all required paperwork associated with each repair performed. Participate in additional training as rovided by the employer.
