Description and Qualifications

The People Operations Coordinator (POC) supports the daily execution of People Resources operations across the employee lifecycle, including onboarding support, employee data management, status changes, and offboarding. This role serves as an HRIS super user and is responsible for accurate processing of employee records, personnel actions, payroll‑related changes, and required documentation. The POC manages personnel recordkeeping, coordinates cross‑functional workflows, supports compliance and reporting requirements, and provides administrative and project support to the People Resources team. This position handles confidential information with a high degree of accuracy and discretion.

ESSENTIAL JOB FUNCTIONS

HRIS, Payroll Support, and Data Administration

  • Serves as a Human Resources Information System (HRIS) Super User, inputting new employee information and employee change data such as Personnel Action Forms (PAFs).

  • Partners with the Finance and Accounting Department to process employee changes in the HRIS and provides appropriate support as needed for bi-weekly payroll.

  • Assists employees with updates of personal information, including name and address changes.

  • Maintains the organization chart within the HRIS by ensuring position information in the system is accurate and up to date. Keeps high level, static, organization chart updated and published on LifeStream as changes occur.

  • Provides support to employees on HRIS employee self-service (ESS) usage

  • Provides support to leaders on HRIS manager access

    Records Management and Compliance

  • In collaboration with the People Resources (PR) Coordinator, maintains complete and accurate personnel files including electronic and physical records. Manages PR recordkeeping retention both onsite and at offsite storage facility, in collaboration with the PR Coordinator,

  • Ensures confidential handling, filing, and retention of personnel documents.

  • Ensures employees and contingent staff meet ongoing (post new hire) Alaska background check compliance requirements; administers paperwork, renewal notifications, and conducts regular audits.

  • Supports the job description audit and review process, provides support for out-of-cycle job description updates and ensures documentation meets standard requirements and compliance requirements.

  • Supports HRIS reporting requests within People Resources, cross functionally, and externally.

    Recruitment and Onboarding Support

  • Ensures incoming employees are provided with materials and information to complete any outstanding infection control requirements not completed prior to hire.

  • Processes internal promotions and employee status changes using the Status Change Smartsheet, coordinating all associated documentation and activities, including Personnel Action Forms (PAFs), letters, approvals, and cross-department notifications, through completion.

  • Processes new hires in the HRIS to ensure timely and accurate onboarding, including entering employee data and providing Payroll with direct deposit information prior to the employee’s first day.

  • Ensures completion of required onboarding documentation on the first day, including I ‑ 9 and W ‑ 4 forms, and submits required DSHS new hire notifications.

    Employee Lifecycle and Engagement Support

  • Administers the employee engagement/pulse survey cycle by partnering with PR leadership and coordinating activities and communications around survey launches, helps to coordinate any follow up actions post survey.

  • Administers and supports employee recognition programs. Including coordinating with vendors to select and order employee gifts for PR programs for recognition programs, including employee anniversaries.

  • Collaborates with PR and Communications teams to enhance employee recognition and appreciation programs across the organization.

  • Supports organization with All-Staff meetings

  • Identifies onboarding improvements and partners with appropriate PR team members to share feedback with leaders.

  • Completes employee offboarding by partnering with the employee and their leader, completing termination paperwork and checklists, and notifying relevant departments to ensure timely removal of system and facility access following the employee’s final day.

    Programs, Projects, and Departmental Support

  • Supports PR department with administrative requests and provides administrative and project coordination support to PR leadership for departmental projects and goals.

  • Administers various bonus programs to ensure that eligible employees are notified, program eligibility is confirmed, employees have signed all appropriate paperwork, leaders have been notified when applicable (may vary based on program), and PAF’s are completed timely.

  • Supports the administration of the Management Incentive Compensation (MIC) bonus program.

  • Completes analysis of relocation requests outside of the Donation Service Area (DSA), including review of applicable employment regulations, and collaborates cross ‑ functionally to prepare and package relocation requests for leadership review.

  • Participate in the development, enhancements and roll out of people related programs, processes, and policies in alignment with business goals and objectives.

  • Provides back-up support for the PR Coordinator.

    Other Responsibilities :

  • Participates in, and may lead, employee committees and events.

  • Complies with applicable laws, regulations, and LifeCenter policies and procedures.

  • Partners closely with PR team to create, deliver and innovate process improvements, policies, procedures, and various other PR initiatives and may take the lead on projects and initiatives as needed.

    ANTICIPATED TIME COMMITMENT

  • The duties of this position will typically require 37 hours per week. Because of the nature of this position, the incumbent may need to work outside of regular business hours, including evenings and weekends, sometimes without advance notice.

    EDUCATION, EXPERIENCE & JOB REQUIREMENTS

  • Bachelor’s degree preferred.

  • Relevant work experience can be considered and substituted for academic requirements.

  • Two years’ relevant experience preferred.

  • Experience working with an HRIS system preferred.

  • Proof of COVID-19 vaccination, or applicable medical or religious exemption, will be required as a condition of employment upon offer.

The pay range for this role is provided above. Where a candidate’s compensation falls within this range is based on several bona fide factors such as experience, tenure, and other specialized knowledge.
