The Division of Administration/Office of Group Benefits has a vacancy. This job title has an assigned pay grade of AS-611.

This position reports directly to the Manager of the Invoicing section at The Office of Group Benefits and is responsible for assisting with all tasks related to Invoice Reconciliation, such as data entry, quality control, and other clerical duties. This position assists with maintaining OGB documents in the imaging system. Due to the complexity of the OGB structure, various specialized systems are used for reporting, requiring confidentiality of private health information (PHI) and HIPAA compliance. This position will require discretion.

The Division of Administration is the state government’s management arm and the hub of its financial operations. Division offices perform a wide variety of activities, including the following:

  • Overseeing the state’s capital construction program

  • Working to provide state and federal grants for community development

  • Development of the state budget

  • Providing technology services

  • Giving agencies guidance in the state purchasing and contracting process as they seek goods and services

  • Administering a program that provides federal funds to help Louisiana residents recover from a series of devastating hurricanes

Minimum Qualifications

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information

Job Duties:

  • Responsible for maintaining complex databases and spreadsheets required for management, billing, and statistical reporting of services provided to state agencies.

  • Reviews and investigates vendor invoices to be billed to individuals, local, state, or federal agencies.

  • Researches and verifies charges for payment reconciliation.

  • Consults with agencies where questions or differences occur, and gathers all necessary data to be used in analyzing billing.

  • Makes recommendations relevant to the appropriate solution.

  • Serves as an assistant to the Accountant Manager 4.

  • Reconciles amounts received to transmittals submitted to OFSS.

  • Ensures that records are accurate, legible, and imaged to the correct plan member accounts in OGB’s imaging system

  • Prepares complex spreadsheets for submission to the Office of Debt Recovery by analyzing data from multiple collection and termination notices to identify accounts that are eligible for referral.

  • Supports other departments within OGB on an as-needed basis by performing clerical duties such as data gathering and document distribution.

  • Compiles and prepare reports for Group Benefits Administrators and Managers to support operational and fiscal activities.

  • Reconciles agency invoices to payments submitted for clients with fewer than 100 members, reviewing, identifying, and documenting discrepancies.

  • Conducts outreach to agencies to assist in correcting errors or resolving issues they may be experiencing.

  • Scans, performs quality controls, and indexes documents for multiple departments, ensuring accurate organization for archiving.

  • Archives fiscal and eligibility documents in compliance with record retention policies and quality control standards, ensuring accuracy, traceability, and long-term

  • accessibility.
