Job Title: Program Assistant / Administrative Program Coordinator

Department: Community Health Programs

Reports To: Director of Community Health Programs

Position Overview:

The Program Assistant provides administrative and operational support for community health initiatives focused on chronic disease prevention and wellness programming. This role is responsible for coordinating program activities, maintaining documentation and reports, supporting participant engagement, and assisting with community outreach efforts. The position plays a key role in ensuring programs run efficiently by managing administrative processes, supporting communication with participants and community partners, and assisting with program logistics.

The Program Assistant will help support individuals participating in lifestyle and wellness programs by assisting with scheduling, documentation, resource coordination, and follow-up communication. This position works closely with program leadership and community partners to ensure participants are connected with available services and resources.

Key Responsibilities:

  • Provide administrative support for community health and wellness programs, including scheduling, correspondence, and program coordination.

  • Maintain and organize program documentation, records, reports, and participant data.

  • Assist with coordinating participant enrollment, tracking participation, and maintaining program databases.

  • Support communication with community organizations and partner programs to coordinate services and referrals.

  • Assist with planning and coordinating program meetings, seminars, and educational events.

  • Prepare materials, presentations, and communications for program activities and outreach efforts.

  • Conduct follow-up communication with program participants to provide information, support, and resource referrals as directed.

  • Assist with identifying and coordinating new program locations and community partnerships.

  • Support recruitment and outreach efforts to increase participation in wellness and lifestyle programs.

  • Provide general administrative support to program leadership as needed.

Knowledge, Skills, and Abilities:

  • Strong administrative, organizational, and time-management skills.

  • Ability to maintain accurate records and documentation.

  • Proficiency with computers and standard office software, including Microsoft Office and PowerPoint.

  • Strong written and verbal communication skills.

  • Ability to work collaboratively with internal teams, community partners, and diverse populations.

  • Ability to coordinate multiple tasks and prioritize responsibilities effectively.

  • Strong attention to detail and ability to maintain confidentiality.

  • Ability to assist with presentations and group discussions when needed.

  • Sound judgment and problem-solving skills.

    Requirements

• High school diploma or equivalent required; additional education is a plus.

• At least two years of experience in community outreach or a related field.

• Valid Maryland Class C Noncommercial driver’s license or equivalent is mandatory.

• Must have access to a personal vehicle for conducting retailer education.

• Proficiency in Microsoft PowerPoint and the ability to create engaging presentations.

• Strong organizational skills with attention to detail for maintaining documentation.

• Excellent communication skills, both verbal and written.

• Ability to work effectively with diverse populations and build cooperative relationships.

Requirements:

  • Valid driver’s license and reliable transportation required.

  • Ability to travel locally to support program activities and community partnerships.

Education and Experience:

  • Associate’s or Bachelor’s degree in Public Health, Health Administration, Social Services, Business Administration, or a related field preferred.

  • Experience in administrative support, program coordination, or community-based programs preferred.

  • Experience assisting with presentations, meetings, or educational programming is a plus.

  • Experience working with community organizations or public health programs is beneficial but not required.
