Faculty Review Administration: Coordinate faculty mid-probationary and comprehensive periodic review workflows and evaluate process execution to identify opportunities to streamline administration. Work with departments and faculty to ensure timely completion and submission of review documents, and compliance with university requirements. Maintain and revise annual evaluation, mid-probationary and comprehensive periodic review guidelines for Dell Medical School, including related tutorials, trainings, and guides.Evaluate process administration to streamline operations; develop templates and administrative resources to streamline functions.Provide relevant reporting to the Deans Office, Dell Med HR, and the Provosts Office. Partner with Associate Director, APT Manager, and Systems Administrator in implementation and use of Watermark for workflows relating to faculty reviews.Faculty Development and Awards: At the direction of the Associate Director, coordinate internal and external faculty award nominations. Research and update internal and external award information and deadlines. Partner with UT Austin and Dell Med stakeholders to facilitate timely submission of nomination materials for award consideration. Partner with school and external stakeholders on special projects and programs that support faculty learning, skill-building, and continual development. Provide administrative support as needed to advance relevant processes.Appointment, Promotion, and Tenure Functions: Partner with APT Program Manager to develop, adapt and implement processes, procedures and policies as appropriate to accommodate changing needs of the school. Provide support to APT Program Manager with review of promotion and tenure components, in particular, ensuring that faculty CVs are in compliance with Dell Med CV template and dossiers materials are in compliance with Dell Med guidelines. Provide support to APT Program Manager by serving as an additional point of contact for guidance and support for departments and faculty for questions and issues relating to promotion and tenure. As the promotion and tenure program continues to mature, manage portions of the program independently under the supervision of the APT Program Manager.Office Operations: Coordinate, manage, and prepare materials for quarterly Associate Chairs meetings with OFAA team leadership.Research and synthesize faculty affairs related practices and programs at comparable institutions to provide insight into the national landscape of offerings and conduct outreach to peer institutions to augment programmatic offerings to increase faculty engagement in faculty affairs activities Manage and coordinate faculty exit interview protocols including survey administration, interview scheduling with the Associate Director, and reporting/analysis.Observe and analyze existing faculty academic progress and promotion processes with stakeholders to determine and implement new models. Creating visual aids and guidance documents to support department chairs and faculty decision-making regarding faculty promotion, appointment, evaluation, and development. Design and implement automated internal workflows where possible that reduce departmental administrative overhead and track departmental processes and goal attainment. Coordinate logistics for meetings and project groups, develop agendas and capture meeting minutes, and update the office website to reflect up to date information on office activities, resources, and offerings.Other related duties as assigned.
