Administrative and Office ManagementOversee daily administrative operations of the academic unit, acting as a resource for university policies and procedures. Provide high level of support to faculty, staff, and students.Manage the Directors calendar, schedule meetings, and coordinate appointments. Assist with special projects and strategic planning. Ensure that academic unit reporting and communications are done in a timely manner and deadlines are met.Point of contact for building space management, including room reservations and office moves,coordination ofinventory and surplus items, and special projects or renovationsFinancial and Budget SupportOversee all academic unit financial transactions related to purchasing, personnel, endowment expenditures, and programs expenditures/budget. Assists with the creation and maintenance of the annual departmental budgets, and instructional budget projections. Ensures the academic units is in compliance with UT policy.Interpret and explain established academic unit and University policies in response to account inquiries. Assist faculty with accounting and budgets of their accounts.Academic and Faculty SupportSupport the full life cycle for faculty employment, including recruitment, summer assignments, tenure and promotion processes, and annual evaluations. Gather related documentation and materials to ensure compliance with college and university procedures. Track faculty eligibility and timelines.Track the academic offerings of the academic unit. Ensures timely posting of course schedule changes and advises on course schedule and catalog changes and manages classroom scheduling and administrative tasks for academic classes. Manage and communicate due dates and submissions for exams and grading, as well as update semester state audit information. Collaborate with SOHE Graduate Administrator regarding TA assignments and schedules, along with tracking graduate budget (recruitment funds, professional development/travel funds, and summer stipends).Supervision of StaffSupervise administrative support staff and student workers, ensuring efficient workflow and adherence to UT, CNS, and academic unit policies and procedures. Serve as the primary liaison between administrative staff, faculty, and college leadership to facilitate smooth operations and address concerns. Provide mentorship, training, and performance evaluations to support staff growth and alignment with academic unit goals.Foster a working environment based on collaboration, professionalism, andpositive communication.Other Unit SupportLiaison with PBH steering committee to update program communications (website, social media); coordinate meetings across university units and university leadership. Coordinate seminars and in-person gatherings of research and community impact scholars.In collaboration with CNS and other central UT offices, monitor and identify potential funding opportunities and support philanthropic activities.Other related functions as assigned
