What You Will Be Doing:
As the Machine Sales Support Supervisor, you will be responsible for managing the team that owns the process from sales order submission to delivery, including timing of deliveries, inventory allocation, required business procedures, forecasting, and overall communication with partner teams.
Primary Responsibilities:
Leadership of sales support teams
Hold coordination accountable to operational excellence metrics and policies (days to invoicing, COTM, notes, etc.)
Balance workload/regional alignment of sales coordinators to sales reps
Back up coordination during large months
Train team to have consistent tools and processes (attachments, estimates, agreements, reservations, inventory, etc.)
Drive a highly engaged team and create development plans for each employee (tied to TMR)
Forecast accuracy and execution (hotlist)
Ensure forecast accuracy by month
Communication and execution of the monthly forecast
Operational smoothness (consistent machines ready by day and by week vs. 50% in last week)
Push "Machines Ready" to either deliver or be reallocated - approved delays only
Implement sales operations policies around machine allocation, reservations, demo's, loaners
Reallocate machines that become available via cancellation
Re-assign machines among customers to meet desired delivery or utilize oldest machines first (ensure machines are not tied up)
Maintain reservations and agreements accurately
Hold sales team accountable to demo policy and loaner policy and ensures timely returns
Communication with partner teams (sales and service)
Service
Maintain strong communication channel between coordination and service (current workload, upcoming workload, regular discussion of challenges)
Handle WO Authorization overages or disputes
Update PDI & Flat rates
Modern Adoption & efficient communications
Ensure WO's authorization open in advance of needs ( 1 day notice or more )
Ensure good communication with sales team on service updates/ready dates
Communication with sales managers on current month expected deliveries - ID and work any gaps
Work with IT to improve reporting capabilities and automate processes
Communication within sales operations teams (quoting, finance, inventory and ordering, sales admin) to ensure smooth operations)
Focus on continuous improvement toward improving processes and efficiency.
Additional Responsibilities:
Participate in required safety program and work in a safe manner
Additional duties as assigned by manager
Who We Are Looking For:
To be successful in this position, you should have prior experience in a sales operations role with strong interpersonal and communication skills. You should have advanced problem-solving capabilities as well as experience successfully managing analytically rigorous corporate initiatives.
Education/Experience:
High School diploma or related equivalent required.
Minimum of 2-years' experience in a marketing coordinator position. Bachelor's degree from a four-year college or university (or related equivalent experience) preferred.
2+ years of experience in a sales operations role.
