Overview

The Department of Poultry Science seeks candidates for an Administrative Support Assistant position to serve as the initial point of contact to those who enter the main office and to assist with clerical and administrative functions of the department. In all responsibilities, the individual selected for this position will be expected to perform tasks with short notice and in coordination with other administrative office personnel while following university-wide policies, procedures, and systems.

About the Department of Poultry Science

: Poultry Science currently offers two challenging and dynamic majors for undergraduates: Poultry Production and the Pre-Vet/Pre-Professional track. The department has been recognized nationally for its production undergraduate degree. Poultry Science students, faculty and alumni have a daily impact on communities across the globe through their work in food safety, animal health, nutrition, production efficiency, and meat quality.

Responsibilities

  • Act as office liaison/receptionist. Receive and route telephone calls and visitors; provide and gather information.

  • Operate standard office equipment such as personal computers, copiers, printers, etc. Set up and maintain miscellaneous files and records.

  • Set up audiovisuals for virtual meetings as needed.

  • Maintain inventory and order office supplies.

  • Process and prepare forms for maintenance work orders and follow-up.

  • Handle duties such as data entry, scheduling classrooms, entering course information into AU student scheduling system, and other similar tasks. Enroll students in classes each semester using Banner.

  • Schedule appointments, maintain the calendar, and provide similar secretarial/administrative assistance for the department head. Schedule conference rooms and the classroom.

  • Maintain department vehicle logs and driver information. Email expiration date reminders.

  • Provide access to the Poultry Science Building/Miller Center and maintain records for access and keys.

  • Send reminders for RCR and COI training to all faculty and staff.

  • Prepare and schedule all outgoing FedEx packages, including dry ice packages. Maintains proper certification for dry ice shipments. Handles all FedEx billing disputes. Notify all faculty and staff via email of all packages and mail received.

  • Make surplus requests and follow up.

  • Assist students and staff with lab coat order forms.

  • Organize and plan special events such as Graduation and Holiday Celebrations.

Qualifications

  • High School diploma or equivalent and 2 years of experience in clerical support services

SUBSTITUTIONS ALLOWED FOR EXPERIENCE: Yes, When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
