TheOperationsSupervisoroverseestheday-to-dayadministrativeandbusinessoperationsforadesignatedsectionofTheEmoryClinic.Thisroleprovidessupervisionandoperationalsupportfornon-clinicalstaffandensuresthatfrontofficeandbusinessofficefunctionsoperateefficientlyandincompliancewithorganizationalpolicies,procedures,andregulatoryrequirements.
TheOperationsSupervisorcollaborateswithphysicians,clinicleadership,andadministrativeteamstosupportefficientclinicworkflows,high-qualitypatientservice,andoperationalperformancegoals.Thisrolemonitorsoperationalperformance,implementsserviceimprovementinitiatives,andsupportsfinancialandadministrativeprocesseswithinthesection.
RESPONSIBILITIES
Operational Supervision
Supervisedailybusinessofficeoperationswithintheclinicsection.
Provideleadershipandoversightfornon-clinicalsupportstaffincluding:
Frontdeskpersonnel
Callcenterstaff
Medicalsecretaries
Medicalrecordsstaff
Precertificationcoordinators
Referralcoordinators.
Provideongoingperformancefeedback,coaching,andstaffdevelopment.
Participateinrecruitmentactivitiesincludinginterviewing,hiring,onboarding,andtrainingemployeesincollaborationwithclinicleadership.
Anticipatestaffingneedsandassistleadershipwithworkforceplanning.
Front Desk Operations and Patient Flow
Maintainoversightoffrontdeskoperationsandpatientflowmanagementduringbusinesshours.
Ensurestaffactivitiessupportefficientclinicoperationsandpatientservice.
LeadorparticipateinDailyHuddlestoreviewoperationalprioritiesandservicestandards.
Reinforcekeyinitiativesincluding:
ServiceStandards
NationalPatientSafetyGoals
EnvironmentofCarepractices.
Patient Experience and Service Excellence
Monitorandreviewpatientsatisfactiondata,includingPressGaneyresults.
patientexperiencefeedbackwithstaffandimplementprocessimprovements.
EnsureadherencetoTheEmoryClinic (TEC)ServiceStandards.
Provideindividualizedservicecoachingtostaffandmonitorimprovementefforts.
Supportinitiativesdesignedtoenhancetheoverallpatientexperienceandservicequality.
Process Improvement and Operational Problem Solving
Participateinidentifyingandresolvingoperationalchallengesaffectingclinicoperations.
Assistwithoperationalmeetingsfocusedonprocessimprovementsandworkflowenhancements.
Collaboratewithclinicleadershipandotherdepartmentstoensureconsistentimplementationofclinicpoliciesandoperationalprocedures.
Data Analysis, Reporting, and Budget Support
Compileinformationandpreparereportsandoperationalsummariesforleadership.
Analyzeoperationaldatatoidentifytrends,progress,andimprovementopportunities.
Utilizereportingtoolstosupportoperationalperformancemonitoring.
Assistleadershipinmonitoringbudgetstatusandoperationalexpenditures.
Identifycost-effectivealternativestosupportoperationalefficiency.
Billing, Supplies, and Inventory Management
Monitorsubmissionofaccurateandtimelybillinginformationtothebusinessofficetosupportreimbursement.
Coordinatethepurchaseofmedicalandofficesuppliesneededforclinicoperations.
Maintainaninventorymanagementsystemtoensureappropriatesupplylevelsandequipmentavailability.
MINIMUM QUALIFICATIONS
Education and Experience
Five (5)yearsofrelatedjobexperience,or
Bachelor’sdegreewiththree (3)yearsofrelatedexperience,or
GraduationfromtheOperationsDevelopmentProgram (ODP).
Additional Requirements
- Somepositionsinthisclassificationmayrequireone (1)yearofsupervisoryexperience.
Technical Skills
Proficiencywith:
Wordprocessingsoftware
Spreadsheetapplications
Presentationsoftware.
PHYSICAL REQUIREMENTS: (Light); 11-20 lbs ,0-33% of the workday (occasionally); 01-10 lbs 34-66% of the workday (frequently) Negligible 67-100% of the workday (constantly), Lifting 20 lbs max, Carrying of objects up to 10 lbs, Occasional to frequent standing & walking; Occasional to frequent sitting; close eye work (computers, typing, reading, writing); Physical demands may vary depending on assigned work area and work tasks.

Environmental exposures include, but are not limited to: Blood-borne pathogen exposure Bio-hazardous waste Chemicals/gases/fumes/vapors Communicable diseases Electrical shock, Floor Surfaces, Hot/Cold Temperatures, Indoor/Outdoor conditions, Latex, Lighting, Patient care/handling injuries, Radiation, Shift work, Travel may be required.
