Description

The Assistant Director, BusinessOperationsprovidesstrategicleadershipandoversightofbusinessserviceactivitiesforadepartment,division,orschool.ThisroledirectsoperationsacrosskeyfunctionalareasincludingHumanResources,Finance,FacilitiesManagement,andresearchadministration,ensuringalignmentwithorganizationalgoals,regulatoryrequirements,andoperationalpriorities.

TheDirectorisresponsibleformanagingcomplexoperationalissues,developinglong-termstrategies,andguidingdepartmentalleadershipinfinancialplanning,workforcemanagement,andoperationalefficiency.Thisrolecontributessignificantlytodepartmentalandsystem-wideinitiativesbyprovidingstrategicdirection,operationalleadership,andadministrativeoversight.

RESPONSIBILITIES

Strategic Leadership and Operational Oversight

  • Directallbusinessserviceactivitiesforthedepartment,division,orschool,includingoversightoffinance,humanresources,facilities,andresearchadministration.

  • Provideleadershipandguidanceoncomplexoperationalissues,strategicinitiatives,anddepartmentalanalysis.

  • Developandimplementlong-termoperationalstrategiesanddepartmentalgoalsalignedwithorganizationalpriorities.

  • Evaluateoperationalandfinancialproceduresandrecommendimprovementstoenhanceefficiencyandeffectiveness.

  • Providestrategicdirectionontechnicalandoperationalissuesaffectingdepartmentalperformance.

Financial Management and Budget Oversight

  • Plananddevelopdepartmentalbudgetrequirements.

  • Administerandmonitorcapitalequipment,operational,andpersonnelbudgets.

  • Reviewpriorbudgetexpenditures,investigatevariances,andimplementcorrectiveactionsasnecessary.

  • Preparebudgetrecommendationsandsupportleadershipdecision-makingrelatedtofinancialplanning.

  • Ensurecompliancewithfinancialpoliciesandprocedures.

Contract Management and Vendor Relations

  • Negotiateandmanagenewandrenewalservicecontracts.

  • Reviewcontractprovisionsandcollaboratewithvendorstoensureagreementsmeetorganizationalstandardsandrequirements.

  • Resolvecontractualissuesandensureservicedeliveryalignswithdepartmentalneeds.

Grants and Research Administration

  • Ensureawardedgrantscomplywithdefinedbudgetparametersandfundingguidelines.

  • Projectfuturebudgetneedsbasedonanticipatedgrantfundingchanges,increases,orawards.

  • Supportadministrativeoversightofresearch-relatedfinancialactivities.

Policy Development and Compliance

  • Develop,administer,andmaintaindepartmentalpolicies,procedures,andrelateddocumentation.

  • Ensurepoliciesalignwithstate,federal,andorganizationalregulationsandguidelines.

  • Reviewandrevisepoliciesasneededandcommunicateupdatestostafftoensurecompliance.

Workforce Leadership and Employee Relations

  • Provideleadershipanddirectiontostaff,including:

  • Monitoringworkflowandoperationalperformance

  • Providingongoingperformancefeedbackandcoaching

  • Orientingandtrainingemployees

  • Verifyingcompetencyandsupportingprofessionaldevelopment.

  • Addressemployeerelationsissuesandsupportdecisionsrelatedtoemployment,benefits,andcompensation.

  • CollaboratewithHumanResourcesonpersonnelmatters,staffingplans,andworkforceinitiatives.

Program and Operational Development

  • Plan,implement,andevaluateoperationalinitiativesorspecialprojectsthatimpactdepartmentaloperations,including:

  • Facilityorspaceplanning

  • Staffreorganizationsorrestructuring

  • Implementationofnewservicesoroperationalmodels.

  • Strategicallymanageinternalandexternalcustomerandstakeholderrelationships.

Data Management and Reporting

  • Assignresponsibilityfordatacollectionandreportpreparation.

  • Reviewandevaluatereportstoensureaccuracyandrelevanceforoperationaldecision-making.

  • Directpreparationandprocessingofadministrativedocumentationincluding:

  • Employeerecords

  • HumanResourcesactionforms

  • Jobdescriptions

  • Employmentrequisitions

  • Otherdepartmentaladministrativedocumentation.

MINIMUM QUALIFICATIONS

Education

Bachelor’sdegreeinoneofthefollowingorarelatedfield:

  • BusinessAdministration

  • Finance

  • HealthcareAdministration

  • PublicAdministration

Preferred Education

Master’sdegreepreferred.

Experience

  • Five (5)toseven (7)yearsofhealthcare-relatedexperience,preferablywithinanambulatoryhealthcaresetting.

  • Two (2)yearsofsupervisoryormanagementexperiencerequired.
