Job Title: Order Fulfillment Coordinator Level I

Job Description

The purpose of the Order Fulfillment Coordinator I role is to process and track Change Notices to support Field Service material requirements. This position coordinates material sourcing from Field Service inventory, production facilities, or through procurement channels to ensure parts are available to support field operations. This role is crucial in meeting service timelines established within Product Services and applicable service level agreements with customers. The Order Fulfillment Coordinator I collaborates closely with Field Service personnel, Procurement, Warehouse, Shipping, and Accounting teams to coordinate material orders, track order status, and resolve fulfillment issues. Additionally, this role supports the Return Material Authorization (RMA) process through cross-training and provides operational support during periods of increased demand.

Responsibilities

  • Validate material requirements across multiple internal systems before initiating material requests.

  • Coordinate with cross-functional teams to ensure punch list information is accurate and complete.

  • Monitor and manage pending punch list items to ensure timely ordering and fulfillment of required materials.

  • Create, process, and track Change Notices from initiation through completion.

  • Source replacement parts and materials required to support Field Service technicians.

  • Support procurement of parts associated with Change Notices.

  • Communicate proactively with stakeholders regarding potential material delays or fulfillment issues.

  • Ensure compliance with Order Fulfillment procedures while identifying opportunities for process improvement.

  • Collaborate with Field Service, Procurement, Warehouse, Shipping, and Accounting teams to resolve and close RMA orders.

  • Track RMA materials returned from the field and ensure they are properly documented in associated Change records.

  • Perform other duties as assigned by management.

Additional Skills & Qualifications

  • High School Diploma or equivalent

  • Minimum of 2 years of experience in order fulfillment, materials coordination, or supply chain operations, preferably within a field service or manufacturing environment

  • Experience using ERP or order management systems to process and track material orders

Pay and Benefits

The pay range for this position is $70000.00 - $85000.00/yr.
