AV Service Coordinator

Job Summary
We are seeking an AV Service Coordinator to support the day‑to‑day operations of an audiovisual service organization. This role is responsible for receiving, documenting, and managing service requests from both clients and internal staff, ensuring all service tickets are accurately updated and resolved within defined service level agreements (SLAs).
The AV Service Coordinator also plays a key role in service contract administration, supporting proposal generation, opportunity tracking, order management, and contract renewals. This position works closely with customers, technical teams, vendors, and subcontractors to ensure processes are followed, service delivery is efficient, and contract performance and gross profit are optimized.
Key Responsibilities
Enter and manage service orders, updates, and documentation within Hedberg
Create service proposals and service contract renewal proposals
Track all service opportunities and tickets within ConnectWise
Obtain quotes and prepare proposals for third‑party service providers and subcontractors
Enter and maintain service agreements and amortization tracking documentation
Generate and coordinate Preventative Maintenance (PM) tickets per contract requirements
Create and manage AV support tickets for reported incidents through resolution, ensuring SLA compliance
Assign technicians and subcontractors to service tickets as required
Follow up with customers regarding past‑due time‑and‑materials (T&M) service invoices not paid via PO or deposit
Coordinate with vendors for equipment repair or replacement
Assign, track, and manage loaner equipment and assets
Qualifications
Strong interpersonal and communication skills that support a collaborative team environment

Clear and professional verbal and written communication skills
Strong attention to detail with excellent organization and documentation habits
Ability to manage multiple tasks and priorities simultaneously
Excellent phone presence and customer service skills
Comfortable working with minimal supervision
Technical & System Skills
Intermediate PC skills, including Outlook, Word, Excel, and Access
Familiarity with Hedberg and ConnectWise (training provided)
Strong math aptitude and comfort working with contracts, pricing, and invoices

Pay and Benefits
The pay range for this position is $22.00 - $30.00/hr.
