Job Description

The MEL Specialist implements and maintains systems of project equipment data control with a focus on the Master Equipment List (MEL). This position provides technical support to engineering and project teams by ensuring accurate equipment tagging, data integrity, and adherence to established procedures and client requirements. The MEL Specialist collaborates with multiple disciplines, performs data verification, and contributes to continuous improvement of MEL processes.

This is a full-time, non-rotational position intended for execution at company headquarters in Anchorage, Alaska, USA.

Responsibilities

MEL Data Management & System Integrity

  • Creates and maintains equipment tags, MEL records, and functional locations in SAP S/4.

  • Conducts research and coordinates field verification to validate equipment data when required.

  • Identifies MEL revisions and coordinates with designers and field technicians to ensure accuracy of as-builts and redlines.

MEL Request Processing

  • Processes MEL requests.

  • Adds and updates MEL records.

  • Validates incoming data for compliance with SAP and Company standards.

SAP / Winshuttle Operations

  • Executes equipment and functional location uploads using Winshuttle.

  • Troubleshoots upload and technical issues; coordinates with IT and peers to maintain data workflow continuity.

  • Ensures proper version and rendition control for MEL-related data loads.

Module Request Processing

  • Assign module number

  • Coordinate module related SAP updates with IT

Audit & Quality Assurance Responsibilities

  • Supports MEL data audits, including preparing data extracts, reviewing discrepancies, and coordinating corrective actions.

  • Monitors adherence to Company and SAP data governance standards during project deliverable reviews and system updates.

Documentation, Training & Knowledge Transfer

  • Develops and maintains MEL procedures, work instructions, and training materials.

  • Supports onboarding related to MEL workflows and SAP equipment modules.

  • Documents lessons learned and contributes to team knowledge sharing.

Project Support & Meeting Participation

  • Leads weekly MEL pulse-check meetings to review workload, blockers, coverage, and training needs.

  • Participates in cross-functional meetings related to equipment numbering standards, maintenance assurance, and procedure development.

Communication & Coordination

  • Works with operators, engineers, and field teams to verify MEL data through site walkdowns.

  • Communicates MEL status updates, issues, and deadlines via Teams, email, and project tools.

  • Responds to user information requests and supports orderly filing and data tracking systems.

Qualifications

  • Two (2) years of college coursework in records management, engineering technology, business, or related field OR five (5) years of progressive experience in document control, MEL, or asset data roles.

  • One (1) year of P&ID or engineering design experience preferred.

  • Experience with SAP S/4 equipment records and Winshuttle upload processes.

  • Familiarity with equipment tagging, maintenance planning, and data governance.

  • Ability to interpret P&IDs, drawings, and equipment documentation.

  • Strong organizational skills with the ability to manage multiple priorities.

  • Self-motivated team player capable of independent work with minimal supervision.

  • Proficiency with MS Word, Excel, and database systems.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence.

Math Ability:

Math skills sufficient to: Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Compute rate, ratio, and percent. Draw and interpret bar graphs.

Reasoning Ability:

Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret an extensive variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have a working knowledge of Microsoft Word, Excel, Outlook, and current versions of AutoCAD design software.
