Actalent Office Manager in Albany, New York

Job Title: Office ManagerJob Description

The Office Manager will oversee payroll, human resources, accounting, and general office management for a dynamic start-up R&D facility located in Albany, New York. Reporting to the Senior Executive, this role is pivotal in ensuring smooth daily operations and administrative support.

Responsibilities

  • Provide administrative support to company executives.

  • Perform daily office tasks such as scanning, printing, organizing, reconciling, managing work orders, and ordering supplies.

  • Track inventory and order maintenance parts.

  • Prepare purchase order documents for procurement items.

  • Monitor facilities and liaise with the building manager.

  • Support staff in day-to-day operations.

  • Manage various reports, invoices, and files.

  • Handle interactions with customers and internal contacts.

  • Manage invoicing, payment tracking, collections, and physical bank deposits for Accounts Receivable.

  • Enter bills, scan documents, communicate with vendors, and process bill payments for Accounts Payable.

  • Prepare financial statements and managerial reports.

  • Monitor and analyze cash flow, reporting cash position to executives.

  • Maintain employee records and process weekly payroll through an external payroll vendor (ADP).

  • Compile and analyze financial data for R&D tax credit claims.

  • Coordinate with R&D departments to ensure accurate tracking and documentation of qualifying research expenditures.

  • Prepare reports and supporting documentation required for R&D tax credit filings.

  • Support audits and inquiries related to R&D tax credits and financial reporting.

Essential Skills

  • Experience in accounting, with a minimum of 3-5 years required; CPA preferred.

  • Proficient in administrative support and office management.

  • Skilled in accounts payable, accounts receivable, and payroll processes.

  • Proficiency in Microsoft Office, especially MS Word, Excel, and Outlook.

  • Experience with NetSuite ERP or a similar accounting system.

  • Strong written and verbal communication skills.

Additional Skills & Qualifications

  • Bachelor’s Degree in a business-related area or an Associate’s Degree with 5 years of experience in a similar role.

  • Experience with an international company is a plus, particularly Japan.

  • Experience with inventory reconciliations and the financial accounting impact of sales and inventory transactions.

  • Understanding of payroll processes and tax regulations.

  • Experience with payroll and time and attendance software; ADP preferred.

Work Environment

This role is based onsite in Albany, NY, with a standard Monday through Friday schedule. The position is within a start-up company in the semiconductor industry, offering substantial growth opportunities from Office Administrator to Senior administrative roles. The company forecasts strong growth through 2026.

Pay and Benefits

The pay range for this position is $90000.00 - $100000.00/yr.
