Jacobs Administrative Assistant - Design & Construction in Albany, New York

  • Provide administrative coordination to ensure projects under the unit proceed in a timely and efficient manner

  • Act as a liaison with various internal workgroups to provide support with meeting scheduling and coordination to support Design and Construction (D&C) initiatives

  • Support the preparation of reports and process flow charts using a variety of computer applications

  • Support the gathering of information and addressing follow-up questions in result of D&C Bright Idea submissions from general employees

  • Provide administrative assistance by preparing materials, building and maintaining meeting agendas, taking minutes, distributing meeting minutes, and following up for completion of action items for timely execution

  • Assist in the development of continuous improvement initiatives

  • Additional duties as assigned to support the Operational Improvement Unit

  • 7 years of experience as a Secretary of Office Manager with a proficient knowledge of those office programs and procedures

  • Ability to draft letters, prepare specialized meeting agendas, create spreadsheets, use new software for office use programs and create flow charts in Visio

  • Organized and process oriented

  • Reliable follow-through skills

  • Excellent written communication skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort learning Vizio and MS Forms

  • Clear and professional communicator

  • Able to work effectively with diverse populations of people in a team setting yet able to work independently within established guidelines

  • Experience supporting cross-functional teams

  • Professional discretion when handling internal information
